Garg Consulting Services is Hiring an Administrative/Marketing Assistant Near Princeton, NJ

Garg Consulting Services is seeking to fill the following permanent position in our Princeton, NJ Office:

ADMINISTRATIVE/ MARKETING ASSISTANT

Garg Consulting Services, Inc. (Garg) is seeking skilled Administrative and Marketing Assistant for our Princeton, NJ Office. Garg is a multidisciplinary engineering firm that works with regional transportation agencies (such as DOT, Transit/Rail agencies, etc.). At least three years' experience in similar administrative and marketing roles is recommended, preferably within the engineering or construction industry. Candidates should be able to demonstrate strong attention to detail, excellent organizational skills, and the ability to work effectively both independently and as part of a team. Duties Include:

  • Work closely with project managers, and engineers, to meet the needs of our clients.
  • Assemble proposals for engineering projects, ensuring all necessary information is included, and documents are formatted correctly.
  • Assist in the coordination of marketing activities, including maintaining databases of potential clients, tracking leads, and organizing marketing materials such as brochures, or presentations.
  • Coordinate logistics for company events, including conferences, seminars, and client meetings such as researching event venues, managing invitations and RSVPs, and organizing promotional materials.
  • Manage incoming and outgoing communications, including answering phones, responding to emails, and directing inquiries to the appropriate personnel.
  • Strong written and verbal communication skills and be able to interact professionally with clients, vendors, and colleagues.
  • Maintain inventory of office supplies and place orders as needed to ensure adequate stock levels. This may involve researching suppliers, comparing prices, and negotiating contracts to secure the best value for the company.
  • Provide general administrative support to the office, including scheduling appointments, filing documents, and handling routine correspondence.
  • Assist in maintaining positive relationships with clients by providing exceptional customer service and addressing any inquiries or concerns in a timely manner.

Qualifications

  • A bachelor's degree in marketing, communications, business administration, or a related field is preferred. However, relevant experience may compensate for formal education.
  • Minimum of 3 years of experience preferred at engineering related firms.
  • Proven experience in proposal assembly, event coordination, and office administration is highly desirable.
  • Strong marketing skills, including proficiency in creating marketing materials, such as brochures, presentations, and proposals.
  • Meet background check requirements.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Experience with graphic design software (e.g., Adobe Creative Suite) is a plus.
  • Exceptional organizational skills are necessary for managing multiple tasks, prioritizing responsibilities, and meeting deadlines. The candidate should be detail-oriented and capable of maintaining accurate records and documentation.
  • A friendly and professional demeanor, with the ability to interact courteously with clients, colleagues, and stakeholders. The candidate should be a team player who can collaborate effectively with others.
  • The ability to adapt to changing priorities and work in a fast-paced environment with tight deadlines.
