Gainesville Housing Authority is Hiring an Affordable Housing Administrative Clerk Near Gainesville, FL

POSITION SUMMARY:

The Affordable Housing Administrative Clerk will assist the Affordable Housing Manager and Team by conducting a wide variety of clerical and administrative tasks.

The statements contained herein reflect general details as necessary to describe the principal functions of this job, the level of knowledge and skill typically required, and the scope of responsibility, but this should not be considered an all-inclusive listing of work requirements. Individuals may perform other duties as assigned, including work in other functional areas to cover absences or relief, to equalize peak work periods or otherwise balance the workload.

POSITION RESPONSIBILITIES:

1. Provides clerical and administrative support to the AFH team, including recordkeeping, data tracking, telephone calls, mailing, emailing, scanning and filing.

2. Answers all incoming calls to GHA in a pleasant, courteous and professional manner.

3. Responds to requests in a prompt and courteous manner.

4. Gathers information from residents to determine the exact nature of the request. Asks clarifying questions to ensure the proper order of importance is assigned to the work order.

5. Provides excellent customer service to residents, internal and external customers; responds to inquiries regarding program information, resident lease, community service and housekeeping.

6. Assist with Residents complying with community service hours. Establishing and maintains filing system and clerical procedures for community service; keeps the system and files up-to-date and accurate at all times.

7. Reports compliant status of housekeeping and/or community service requirements to the Affordable Housing Coordinator prior to recertification.

8. Reports any issues that is observed on property to the Affordable Housing Coordinator. Upon further investigation, issue fines and/or notices for resident lease violations.

9. Assist with the delivery of rent statements and other notices.

10. Prepares weekly report of all outstanding work orders for Chief Operating Officer, Maintenance Supervisor, Affordable Housing Asset Manager and Maintenance Team Leader.

11. Perform no less than 15 Customer Service Satisfaction survey’s weekly on Affordable Housing Staff team, and submit the report to the Affordable Housing Asset Manager and COO.

12. Support the Affordable Housing Asset Manager with other administrative and reporting requirements.

KNOWLEDGE, SKILLS AND ABILITIES:

Ø Knowledge of operation of office machines – Microsoft Office Teams, copier and postage meter.

Ø Ability to operate a personal computer and data entry.

Ø Ability to type 55 WPM.

Ø Ability to understand, apply, and operate in accordance to GHA maintenance policies and procedures.

Ø Ability to demonstrate and maintain harmonious and effective relationships with residents, co- workers and the general public.

Ø Proficiency in the operation of a personal computer, including word processing, spreadsheet, data base and presentation applications as well as ability to search the Internet.

Ø Strong organizational skills and an attention to detail.

REQUIRED EDUCATION AND EXPERIENCE:

Ø One (1) year heavy telephone experience.

Ø Education should be that of a college graduate, A.A. or B.A. degree in Business or Public Administration. May be waived if experience and other requirements are deemed to have been satisfactorily met.

Ø Experience in basic office procedures, and business filing that is typically gained through one

(1) year of clerical training or experience.

Ø Bilingual skills preferred.

Ø This position is a safety sensitive position and as such requires pre-employment drug screening

and police background check.

A valid Florida Driver’s license is required and must be maintained throughout period of employment.
