The Administrative Specialist, reporting to the Executive Artistic Producer, is responsible for performing tasks on a professional level to support the day-to-day needs of the theatre. This position carries out responsibilities in the following functional areas: administrative, mail processing, and office supply management. This position is a part-time, non-exempt position.
Responsibilities
Responsibilities include but are not limited to:
Respond to inquiries from staff members and management
Order and keep stocked office and venue supplies for the Theatre
Collect, process, and distribute incoming mail
Process and distribution of outgoing mail
Management and operation of the postage machine
Process monthly postage report, keeping track of departmental postage spending
Organize and maintain cleanliness and functions of the work room and shared office spaces
Assist with assembling presentation materials, filing and other clerical tasks
Update the donation and sponsorship spreadsheet daily
Coordination of calendars and room requests
Receive and distribute room rental requests
Knowledge, Skills and Abilities Required
High School Diploma or completion of the General Education Development Test
Strong analytical and problem solving skills
Ability to manage and prioritize multiple projects and tasks
Excellent communication, presentation, and interpersonal skills
Strong computer skills, including Microsoft office and google suites
Ability to work in a fast-paced, upbeat, and ever-changing environment
