On-Call Event Producer

Location: In-Person: Pasadena, California

Reports to: Director of Strategic Events 

Objective: The Event Producer (On Call) position provides event production support for events planned and coordinated by the Strategic Events Department. This position will either support the lead event producer on seminary-wide branded events or serve as the primary coordinator and facilitator for designated events, hospitality needs, and brand experiences that promote and support the overall mission and vision of Fuller Seminary in and around the Pasadena campus. 

Essential Duties and Responsibilities:

• Provide coordination and on-campus support Pasadena campus events; events may include community gatherings, special chapels, commencement, academic events, centers events, and student, learner, donor, and alum events
• Serve as liaison with vendors, managing rental orders and delivery schedules, including catering, table linens, event equipment, floral centerpieces, furniture, etc.
• Prepare event timelines, including a Play by Play and Program Agenda as needed 
• Attend event preparator meeting, virtually or in person, depending on the needs of each meeting
• Communicate with Event Production team to ensure tech support is provided according to event programming needs
• Collect and/or write copy for event promotion materials, including but not limited to: invitations, printed programs, employee site postings, event websites, and event registration sites
• Maintain cohesion and consistency of the Fuller brand, including event marketing, banners, signage, and overall design
• Oversee and contribute to event setup/teardown and manage the organization of event storage 
• Provide remote event coordination support for strategic events, including the annual lectures, donor events, and community gatherings
• Provide in-person support for seminary-wide strategic events, including the annual commencement ceremony in Pasadena, key donor events, and other events as assigned 
• Other creative and event production duties as assigned by the Director of Strategic Events 

Knowledge and Skills Required:

• Bachelor’s degree or equivalent
• A minimum of three years of event experience
• High proficiency in Google Suite
• Excellent oral and written English communication 
• Energetic self-starter with the ability to work independently
• Excellent interpersonal skills
• Able to balance multiple projects and re-prioritize as needed
• Exceptional organization skills with meticulous attention to detail
• Able to maintain a positive customer service attitude in challenging situations
• Must be able to run errands for events
• Able to stand up to 4 hours at a time during events
• Able to lift 30 pounds onto a cart, push/ pull 120 pounds on a cart, and climb stairs and stepladders 
• Experience in Eventbrite, Slack, and ClickUp project management preferred
• Must be willing to work in person for key seminary events, including occasional early mornings, evenings, weekends, and holidays as scheduled
• Flexible schedule with the ability to work varying hours depending on event needs
