Job Summary:
The Purchasing Clerk assists with placing orders for raw materials, products, equipment, or services, and ensures deliveries dates are met, item counts are correct, and pricing is accurate. The clerk works under the direction of the purchasing managers. The direct report will be the Controller. Job duties include compiling the purchase orders, reconciling invoices to the purchase orders, maintaining purchase order records, assisting with job budgets, and monitoring job inventories.
Duties and Responsibilities:
· Create purchase orders: Collect the required data and generate a purchase order in the accounting system with the proper project and general ledger coding. Ensure the PO has the proper approval. Communicate the PO number to the staff with the responsibility for placing the order.
· Monitor incoming orders: Monitor incoming orders, with focus on ensuring accuracy of pricing, delivery dates, and item counts. Provide updates on delivery delays and back orders.
· Reconcile vendor invoices: Match vendor invoices to the related purchase order and reconcile variances with the staff who placed the order.
· Work Disputed Invoices: Assist the Project Manager with clearing disputed invoices.
· Maintain purchase records: Maintain detailed computerized records of purchases, including quantities ordered and received, shipping information, and costs associated with the purchase.
· Assist with other tasks assigned by the purchasing managers.
Measurables:
· Timely response to PO requests: Manager will assign a score based on input from those requesting Purchase Orders.
· AP Pending: Maintain an AP Pending balance of less than $25,000. (This balance will be reduced 5% each year.)
· Disputed Invoices: Ensure the level of disputed invoices is below 5 per month. The goal is 0.
· Generate Weekly/Monthly Exception Reports: Open PO’s past Receipt Date, Over/Under Shipped PO’s, PO’s with Pricing Variance.
Requirements and Qualifications:
· High school diploma or GED certificate
· Bachelor's degree or experience in supply chain management (preferred)
· Computer proficiency, particularly with spreadsheet programs
· Organizational skills
· Time management skills
