Position Overview:

The Advancement Associate -Database Manager role is a temporary hourly position. Reporting to the Director of Advancement, Advancement Associate role offers an opportunity for close, collaborative work and problem-solving with a small team of dedicated and dynamic development professionals. The position centers around constituent data: research, prospecting, gift processing, problem-solving, and donor stewardship comprise key responsibilities. Additionally, the position encompasses close involvement with all work undertaken by the Advancement team, including events, parent relations, alumni relations, communications, and Annual Fund planning and execution.

Key Responsibilities

  • Maintain Advancement Database – Work in Raiser’s Edge database to maintain system and ensure that all donor records are up to date
  • Gift processing – Process all school gifts in the advancement database system in a timely manner
  • Gift reporting – Generate reports as needed for the advancement office, finance office, board of trustees and leadership team
  • Donor Stewardship and recognition – Process thank you and acknowledgments for donors
  • Prospect research – Identify, qualify and research potential major and annual fund donors
  • Maintain a small portfolio of annual fund donors and work to cultivate their annual giving through traditional fundraising moves management
  • Special Events – Provide planning, administrative, logistical and day of support for school events throughout the year
  • Parent Relations – Work with the Parents’ Association as needed throughout the year
  • Alumni Relations – Assist with alumni identification, research, and stewardship
  • Annual Fund – Work with the head of the Annual Fund as needed throughout the year
  • Additional responsibilities as required

Qualifications

  • Bachelor’s Degree required
  • 2-3 years of professional work experience required, development/fundraising experience preferred
  • Experience with Raiser’s Edge preferred, database management software required
  • Excellent attention to detail
  • Strong organizational skills
  • Exceptional verbal and written communication skills
  • Available for occasional night and weekend events
  • Ability to work in fast-paced, flexible, team environment
  • Long-range strategic thinking skills
  • Optimistic attitude, positive spirit and professional demeanor
  • Discretion while working with confidential and sensitive information
  • Proficiency with Excel and other Microsoft applications (Word, PowerPoint, Outlook), and basic office equipment
