    Salary Range: *$32,474 - **$40,244
    Position Closing Date: Position open until filled
    Primary Function of Position: Provides financial aid assistance to both internal and external customers with exceptional customer service.

    Essential Job Functions:
    • Counsel’s students on general financial aid processes.
    • Manages all incoming customer requests through face-to-face contact, email, phone calls, and mail.
    • Reviews confidential information, such as Federal Tax Returns and other sensitive information.
    • Assists students with scholarship applications and manages the lists of approved tuition waivers.
    • Completes loan deferment forms for students enrolled at least halftime in a Title IV-eligible program.
    • Coordinates processes between students and families and the U.S. Department of Education’s electronic databases.
    • Performs various clerical duties such as copying, faxing, filing, scanning, calendar management, email correspondence, ordering supplies, etc.
    • Manages (with some ability to delegate/share responsibility) office and facility responsibilities, including (but not limited to), ordering/stocking breakroom and supply room, meeting room/vehicle reservations, planning/coordinating/executing functions and events, and maintaining current pertinent office information (department phone list, sub list, etc.).
    • Manages student academic progress reports between instructors and financial aid staff.
    • Processes communications to inform students of missing documents needed to complete the financial aid and scholarship processes.
    • Organizes student files in both electronic and paper format.
    • Keeps informed of federal and state rules and regulations related to the various financial aid and tuition waiver programs.
    • Oversees the financial aid department calendar management.
    • Provides gatekeeper and gateway role for supervisor(s) and instructors by effectively managing the flow of information in and out, screening phone calls, opening and sorting mail, summarizing reports and memos before forwarding to appropriate personnel, and formatting communications for internal and external distribution.
    • Ability to be present on the job as described under working conditions and contract details.
    • Other duties as assigned.
    Knowledge, Skills, and Abilities:
    • High school diploma or equivalent required.
    • Administrative office certificate or associates degree highly desired.
    • Three to five years of administrative experience required.
    • Administrative experience in educational setting a plus.
    • Experience in student financial aid preferred.
    • Requires a high level of confidentiality.
    • Ability to work independently with limited supervision and direction.
    • Proficiency in Microsoft Office products (Excel, Word, Outlook).
    • Ability and desire to maintain/manage an efficient, well organized office area.
    • Exceptional verbal communication skills.
    • Strong written communication demonstrated in both letter and email.
    • Ability to understand and meet critical deadlines.
    • Ability to excel in a fast-paced work environment by prioritizing tasks and projects.
    • Strong flexibility, time management, and organizational skills are a must.
    • Anticipate needs, be resourceful and have ability to build strong employee partnerships within the organization.
    • Ability to consistently deliver superior customer service and work quality to internal and external customers.
    Working Conditions:
    Long periods of sitting and standing. Ability to lift 10-25 lbs. Low-level machine noise is encountered the majority of every day. Concentrated visual effort is required. Extensive communication with internal and external customers. Reliable, dependable and punctual attendance. This is not an exhaustive list and reasonable accommodations will be made as needed.
    Organizational Relationship:
    Full-time, non-exempt personnel position reports directly to the Director of Financial Aid.
    Contract Details:
    Twelve-month contract subject to annual renewal. Working days and hours are Monday through Friday, 8:00 a.m. – 4:30 p.m.
    Francis Tuttle offers a comprehensive benefit package for full-time employment to include paid health and dental insurance, a supplemental benefit compensation in the amount of four hundred sixty-five dollars per month, employee leave plan with family friendly work calendar, and 100% contribution into Oklahoma Teachers Retirement System.
    • Starting salary represents individuals who are in early stages of career, newer to the role, working toward increasing proficiency.
    ** This range represents individuals who are fully experienced and qualified, demonstrate sustained performance for a period of time and exhibit full proficiency in all aspects of their role.
