Job Description Summary
The Assistant Registrar - Graduation is responsible for graduation processing and celebration efforts for the college. This includes evaluation and approval of degree completion, communication with students and staff, maintenance of degree audits, and related processes. The Assistant Registrar manages confidential and sensitive student information and develops and presents options for creating or changing procedures. This position serves as a key leadership position for Enrollment Services. This individual serves as the chair of the Graduation Planning committee to coordinate commencement ceremonies and ensure effective communication and collaboration occurs among students, FVTC staff, community members, and vendors.
Job Description
ESSENTIAL JOB FUNCTIONS
  • Under minimal supervision, leverages, evaluates, and utilizes technology to track graduation progress for all degree, diploma and certificate students and coordinates the digital and physical distribution of diplomas through Parchment services.
  • Complies with all FVTC and Wisconsin Technical College System policies, as well as appropriate federal laws regarding graduation and records.
  • Leads the graduation ceremony coordination team. These responsibilities include, but are not limited to planning related to: internal and external communications coordination, college marketing collaboration, student RSVP processes, and vendor relations (photography, bookstore/regalia ordering, venue, security, interpreter services, refreshments, music, etc.).
  • Interacts with the National Student Clearinghouse to ensure that the data submitted complies with the US Department of Education requirements and participates in annual financial aid audits.
  • Works closely with instruction and academic programming staff to evaluate and set up course substitutions making determinations as to set up at the individual student level.
  • Evaluates and responds to students and instructional staff with degree audit questions.
  • Monitors and evaluates student program completion to determine eligibility for the completion of embedded programs.
  • Collaborates with advising and IT staff regarding reporting and communication related to the college Academic Warning, Suspension and Probation processes, and registration process support.
  • Creates ITS-Degrees in the student information system as needed.
  • Cross-trains and provides backup to Credit for Prior Learning.
  • Performs final graduation checks after all coursework completed. Confer degrees. Reviews and analyzes student degree audits to ensure they meet the needs for graduation. Continuously communicates updates to current students.
  • Collaborates with academic programming staff to investigate and ensure students are in the proper requirement term upon program changes.
  • Communicates relevant program changes to student services staff as needed.
  • Other duties as assigned by the Registrar.
  • Provide verification of student records based on open records requests for information.
  • Cross-train and provide backup within Enrollment Services.
  • Ability to handle difficult or sensitive situations with customers daily.
  • Contribute to and help develop Student Services initiatives and participate in team decision-making.
QUALIFICATIONS, TRAINING, AND EXPERIENCE
  • Bachelor's Degree in a related field is required, AND
  • Three years of recent records experience utilizing a student information system OR
  • An equivalent combination of related education, training, and experience.
  • Advanced knowledge of Windows operating systems, MS Office Suite (i.e. spreadsheets, word processing, charting tools, database) is required.
  • Extensive knowledge of student records management within a comprehensive student information system such as PeopleSoft or Workday
  • Workday. Advanced skills in PeopleSoft Student Administration modules and University of Wisconsin Transfer Information System is preferred.
  • Familiarity with FERPA compliance, academic records, and student record keeping policies and practices.
  • Valid Drivers License required.
  • Subject to FVTC Motor Vehicle Records Disclosure Check.

Additional Information
Pay: $52,200.00 - $78,400.00 per year.
Pay is based on a multitude of factors, including experience, qualifications, education, relevant certifications, internal equity, and market data.
