Job Summary: To oversee the organizational, operational, and daily functions of the Springfield FAC branch office.
Primary Responsibilities and Duties:
- Ensure guest satisfaction by friendly greeting and connecting guests to desired personnel in person or via phone.
- Receptionist duties, including answering incoming calls, follow up on phone calls, voicemails, and contacts as appropriate, sorting and distributing mail, recording agency voicemail messages, and preparing documents.
- Assure excellent customer service, including front desk, phone, email, and events.
- Maintains inventory of office, breakroom, and first aid supplies at Springfield branch; orders new supplies as needed.
- General management of office, including calendars, supplies, equipment, local vendors and maintenance.
- Assist with office record keeping to track building and vehicle services or maintenance.
- Help in planning special events for clients and families served and/or assist staff members with special projects.
- Serve as Administrative Assistant to Executive Director.
- Assist with phone screenings for new hires.
- Assist with preparation of advisory council and HQ board reports.
- Coordinate office bulk and regular mailings.
- Compose and proofread correspondence, meeting minutes, and other documents.
- Assist with Sammy’s Window donations/clients as needed.
Qualifications & Preferred Skills
- At least two (2) years of administrative assistant or office management experience; one (1) year of non-profit experience preferred.
- Demonstrated resourcefulness in setting priorities and proposing new ways of creating efficiencies.
- Outstanding organizational and planning skills.
- Solid commitment to the principles of support and advocacy for foster and adoptive families.
- Excellent people skills, with experience collaborating in a multi-disciplinary, diverse, and dynamic team.
- Strong verbal communication skills and demonstrated ability to write clearly and persuasively.
- Demonstrated leadership ability, team management, and interpersonal skills. Must have ability to quickly establish rapport and build trust.
- Flexible and a self-starter; able to multi-task while also being highly detail-oriented while meeting all deadlines.
- Work as a necessary part of a team effort with colleagues of all demographics.
