Business Operations Manager
Form MD Performance is a concierge style health & wellness practice in South Orange County. Our core treatment offerings are: 1) Hormone/testosterone/peptide therapy, 2) Weight loss (Semaglutide, Tirzepatide), 3) IV hydration & Vitamin complex & 4) Antiaging & Recovery (Cryo & Hyperbaric Oxygen therapy). All the medical based responsibilities are covered with the three-member medical team consisting of myself, our Nurse Clinical Director, and Medical Assistant.
This is a new position created out of necessity due to growth. As a result, to handle the administrative burden of this growing medical startup I need an experienced ROCKSTAR operation manager that is energetic, hard-working, dependable, self-starting, collaborative and 100% ethical and drama free. All this while being a creative problem solver that can execute high level in all facets of business operations: sales, marketing, financial, talent management, supply chain, information technology, reporting, and strategic growth, etc.
All facets of my practice function in concert with amazing team members overlapping as needed. Form MD Plastic Surgery is a single surgeon (me) surgical practice that includes a focus on cosmetic and reconstructive facial plastic surgical procedures. Form MD Aesthetics/Medical Spa functions with its Aesthetics Nurse and Esthetician team providing toxin, filler, lasers and other modalities and treatments needed for aesthetic rejuvenation. Our growth includes adding an additional 1200 ft2 office space expansion currently weeks away from completion that will house our expanded Form MD Performance service offerings.
Objectives of this role:
- Collaborate with Dr. Pollei in the development of performance goals and long-term operational plans
- Maximize efficiency and productivity through extensive process analysis and inter-entity collaboration
- Set strategic goals for operational efficiency and increased productivity
- Work in the development of financial and budgetary plans
- Analyze current operational processes and performance, recommending solutions for improvement where necessary
Job Responsibilities:
- Develop, implement, and monitor day-to-day operational systems and processes to provide visibility into the goals, progress, and obstacles of key initiatives
- Draw on relationships with medical team, marketing team, external relationships, and vendors to make decisions regarding operational activity and strategic goals
- Plan, monitor, and analyze key metrics for day-to-day operations to ensure efficient and timely completion of tasks
- Devise strategies for ensuring the growth of programs service offering-wide, and implement process improvements to maximize output and minimize costs
- Manage financial aspects of the business, including reimbursement, revenue cycle management and budgeting
- Manage the office calendar, including scheduling appointments and meetings
- Oversee patient experience and ensure excellent administrative service
- Develop and implement training programs for office staff
- Maintain and manage information technology systems, ensuring effective communication within the office and patients
- Work closely with team members to lead with integrity and to establish and maintain a trusting, inclusive, and productive environment
- Manage all HR related actions and responsibilities, hiring, staff performance evaluations, discipline, etc.
- Maintain communication and perpetuate office culture expectations
- Adhere to the company’s policies and standards, and ensure that California specific laws and regulations are being followed
- Maintain cohesive vision of service offerings and collaborate with medical provision team
- Administrative supply chain oversight
- Coordination of reputation management efforts
- Take responsibility for reporting, office metrics, Key Performance Indicator tracking and efficiency improvements
- Serving as the main patient point of contact for all office-based communication
Experience & Qualifications:
- 5 years minimum of experience in an industry related operations director role
- 3 years of high-level sales / marketing & product / process development experience
- 3 years of financial metric & tracking / KPI implementation and utilization
- Demonstrate the ability to manage, lead, and hold team members accountable
- Excellent communication and interpersonal skills
- Proficient in using varied intricate software systems and office equipment
- Experience with strategic growth objective identification and execution
- Excellent verbal and written communication skills
