Job Description

Assistant Manager

Immediate Supervisor: General Manager

Job Summary:
Directly supervises and maintains a high quality of service offered to guest through the management of reservations, guest registration, telephone services, guest accounting and security.

Essential Job Responsibilities:

  • Ensure an environment in which high standards of customer service and quality exist for our guest.
  • Participates in the selection of all front office personnel.
  • Trains, cross trains, and retrains all front office personnel.
  • Schedules the front office staff.
  • Supervises work loads during shifts, and helps with check-in or reservations during peak times,
  • Evaluates the job performance of each front office employee.
  • Maintains key controls.
  • Resolves guest related problems quickly, efficiently, and courteously
  • Verifies that accurate room status information is maintained, and properly communicated.
  • Updates group information. Maintains, monitors, and prepares group requirements. Relays information to appropriate personnel.
  • Reviews and completes credit limit reports.
  • Participates in weekly staff meetings and revenue/reservation meetings.
  • Communicate with housekeeping and maintenance to ensure the availability of rooms according to forecast.
  • Assist the controller with accounting functions as needed.
  • Fill in for associate positions as necessary during absences or budgeted down times.
  • Works within the allotted budget for the front office.
  • Receives information from the previous shift and passes on pertinent details to the oncoming shift.
  • Enforces all cash handling, check cashing, and credit policies.
  • Conducts regularly scheduled meetings of front office personnel.
  • Wears the proper uniform at all times, and requires all front office employees to wear proper uniforms at all times.
  • Work closely with all departments with-in the hotel.
  • Speak to every employee and guest you come in contact with.
  • Participate in the manager on Duty Program.
  • Perform or coordinate other tasks as assigned by the Assistant Manager or General Manager.

Necessary Skills and Attributes;
Excellent verbal, comprehension, listening and problem solving skills.
Interpersonal and time management skills.
Guest relation skills.
Adaptability.
Sound computer skills and working knowledge of Microsoft Word, Excel, PowerPoint and Outlook.

Formal Education:
High School Graduate or equivalent.

Experience:
1-3 years hospitality industry. Minimum of one year hotel front-desk supervisory experience, experienced cash handling, account procedures, and general administrative task.

Physical Requirements
While performing the duties of this job, the employee is regularly required to sit, stand, bend, walk, use hands to finger, or feel objects, tools or controls, lift boxes, and luggage ( up to 50 pounds ), talk and hear. Vision abilities required by this job include close vision to a computer.
