Position Description

We are in search of a Operations Administrator to join our team at our Corporate Branch in Loomis CA. This position will report to the Director of Construction and will work with all levels of staff, managers, and executives. The Operations Administrator will be responsible for the completion of customer contracts companywide.

Job Responsibilities:

  • Track and process contract documents following company procedures
  • Coordinate with internal and external customer regarding specific contract documents
  • Complete new vendor request documents
  • Setup and maintain various customer website portals
  • Obtain bonds and certificates of insurance
  • Monitor process to ensure customers return fully executed contracts
  • Perform general administrative duties for operations as assigned
  • Assist with special projects and events, including planning, coordination, and execution
  • Assist accounting department with compliance management and help follow up on the return of insurance certificates, purchase orders, subcontracts and change orders.
  • Perform job accounting closing activities as needed
  • Maintain detailed and organized files, ensuring all documentation is saved and updated in the system
  • Perform other related duties as assigned

Minimum Qualifications:

  • Strong analytical and organizational skills
  • Keen attention to detail
  • Ability to work with varying levels of staff
  • Strong communication skills
  • Ability to be productive when working independently or as part of a team
  • Intermediate skills with Microsoft Excel
  • Strong ability to multitask

Preferred Qualifications:

  • Contract and legal knowledge a plus
  • Experience with Computer Ease and Service Trade
  • Construction experience and knowledge is a plus
  • Certificate of Insurance and WRAP Insurance knowledge
  • Familiar with bond procedures
  • Prevailing Wage experience
