Job Title: Physical Therapy Assistant/Auto Injury

Reports to: Clinical Team Leader

Department: Auto Injury/MVA Care

Job Summary: Responsible for direct patient care of MVA Clinic Initial, Follow-Up and PT Evaluations, ensuring Patient compliance with frequency of PTA Visits, and the assisting of the Physician or mid-level practitioner. Frequently engages with MVA Patients in discussions related to necessity of compliance with PT visits (case management/case value), compliance with Medical Provider visits (automatically tracking and scheduling with a Provider at least every 4-6 weeks. Must complete lab and x-ray requests, keep charts current, and screen calls within physician guidelines. Administer prescribed treatment as directed by physician or mid-level practitioner.

*Minimum 1 year experience required*

Completion of MA certification program required

Essential Functions of the Position:

  • Manages MVA Scheduling
  • Keep track of MD/DO/ARNP/PT Follow-Up Visits to ensure coordination of care and appropriately scheduling required appointments to maintain compliance.
  • Ensures that all Auto Patients are scheduled for PT Evaluation appropriately.
  • Keep track of Therapy Visits and schedule re-evaluation with PT every six weeks or with change in patientÂ's clinical status.
  • Prepares weekly/monthly visit number of Missed Appointments and/or Evaluations.
  • Notifies the Provider of any significant variation of Cancelled/Missed scheduled visits.
  • Makes Phone Calls to Missing Appts./Non-Compliant Patients.
  • Assists with scheduling of tests and treatments.
  • Maintain records/logs of active MVA Patients to include information such as:
    • PatientÂ's Name and Date of Birth
    • Date of Motor Vehicle Accident
    • Recent Medical Provider visit date/future scheduled date with Medical Provider (Follow Up or Final)
    • Recent PT Eval. Date/Scheduled future date with PT (Re-Evaluation or Discharge Summary)
    • Prescribed frequency of PT Treatment Plan
    • Attorney Name/LOP Signed
    • Auto Insurance Policy limits (if available)
    • Referral to Specialist(s) – Name of Specialist(s)
    • Specific Diagnostic test performed – date of completion of tests
  • Assist Physical Therapist and Providers
  • Ensures patients flow through clinic in a smooth and efficient manner, by bringing the Patient back and ready to see the Provider prior to the scheduled appointment time. Coordinates the flow at the back office, making sure that patients are taken back accordingly, either by appointment, working, or walk-in basis. Will handle any complaints in reference to wait time or resolve any further inconveniences for patients with appointments or a walk-in emergency.
  • {Regular wait time for an Established Appt. = 15 min/New Pt. Appt. = 20 min}
  • Prepares patients for examination and treatment.
  • Ensures completion of all required documentation of patient care activities in accordance with PIP guidelines.
  • Takes patient histories and acquires all medical records necessary for visit.
  • Applies DME devices and equipment with instruction on appropriate use.
  • Being familiar with abnormal diagnostic tests and being able to identify and flag such test results immediately for Physicians/Providers.
  • Reports to the Supervising Physical Therapist, any injuries or adverse reactions during or after treatment.
  • Notifying Physicians/Providers of all positive findings. Scheduling patient for follow up exam or special views per Provider instructions.
  • Completes Discharge Summaries when appropriate and/or scheduling patients for discharge summary visit with the PT.
  • Ensures all Urgent Tasks, Secure Messages and employee intranet email are addressed prior to end of day. All other Non-Urgent Tasks, Secure Message and employee intranet email correspondence is addressed in timely manner of 2-3 business days.
  • Maintains MVA Compliance and Legal requirements for services
  • Knowledgeable of Florida PIP Statues
  • Knowledgeable of Florida Office of Insurance Regulation (OIR) forms used for MVA patients
  • Prepares for and effectively defend PT/PTA documentation at legal depositions and/or court. (as advised by the PT, Medical Provider and/or Attorney)
  • Follows company policies, procedures, and regulatory requirements with regards to HIPAA, OSHA, and safety standards.
  • Maintains Physical Therapy Rooms and Equipment
  • Prepares and maintains supplies and equipment for treatments; ensures all equipment is calibrated, cleaned, sterilized and charged.
  • Prepares Physical therapy and treatment rooms, ensuring each is cleaned and sanitized between patients and restocked.
  • Notifies the Clinical Supervisor/Team Lead or Office Manager when clinical and office supplies need replenishing.

Additional Responsibilities:

  • Provides general information on departmental policies and procedures.
  • Attends required Provider/Dept. meetings and participates in committees as requested.
  • Attends &Participates in weekly case conferences and Physical Therapy Care Team.
  • Other duties as assigned by Clinical Team Leader/Supervisor, Office Manager, Physicians or Associate Director of Physician Offices
  • Practice and adhere to the Code of Conduct, philosophy and Mission and Value Statement.

Physical and Mental Demands:

  • Ability to manage multiple tasks simultaneously at above average level
  • Ability to react calmly and effectively in emergency situations.
  • Ability to communicate clearly with high level verbal and written communication skills.
  • Requires full range of motion including handling and lifting patients, occasionally required to lift and carry items up to 100 pounds.
  • Requires standing and walking for extended periods of time.
  • Knowledgeable in use of proper body mechanics, manual and finger dexterity, and hand-eye coordination.

Occupational Exposure:

  • High risk exposure to blood borne pathogens and chemical hazards.

Job Qualifications:

  • High School Diploma of GED Equivalent
  • State of Florida license as a Physical Therapy Assistant
  • At least one year of experience in a Physical Therapy/MVA Clinic
  • Strong customer service orientation
  • Excellent telephone etiquette
  • Strong team player
  • Advanced computer proficiency
