Salary: 60k-70k

Five Star Global is hiring a Senior Event Specialist who is responsible for executing and managing specific tasks throughout the event planning process. This position supports the Event Director and is an integral member of the event management team. Five Star Global hosts 10 in-person events and conferences annually attracting 100 to 2,500 guests per event to support its various membership organizations and offers 30 webinars and online certification courses each year.

Job Duties:

  • Assists in coordinating, planning, and strategy development of event production by working with other departments to determine staff responsibilities, goals and objectives, timelines, and financial management.
  • Responsible for the day-to-day operations to ensure that event timelines are being met by all departments.
  • Design and maintain event websites and manage all aspects of registration including online experience, data collection, onsite check-in and flow, badge printing and pacing reports.
  • Serve as event support to Five Star Global membership groups and national chapters through venue/vendor sourcing, event website creation, and hosting webinars and online certification courses.
  • Communicate with marketing and creative team to create effective promotions for each event, and when necessary, crafting marketing materials, such as print and digital advertisements, for individual events.
  • Manage execution of sponsorship benefits. Assist in creating event sales opportunities and providing sponsorship activation ideas.
  • Source, negotiate contracts and manage vendor relationships for event production (including, but not limited to, hotels, venues, catering, printing, AV, rental companies).
  • Work closely with creative to determine signage and printing needs for each event.
  • Coordinate event entertainment, including music, performers, and guest speakers.
  • Work closely with hotels managing group housing reservations and monitoring pick up reports.
  • Manage and oversee event execution onsite, including event set-up, communicating with staff, supervising vendors/exhibitors, problem-solving, welcoming guests and wrangling speakers.
  • Serve as the lead for small in-person special member events, such as receptions, breakfasts, dinners and certification classes.
  • Manage the costs of the event against cost projections staying under budget and communicate appropriately. Assist in reconciliation of all final invoices and deliverables.
  • Respond quickly to event inquiries through the events inbox providing exceptional customer service to sponsors and guests.
  • Plan multiple events at once and keep all electronic event files up-to-date.
  • Provide event performance data and analytics and identify opportunities for efficiencies post-event.
  • Acts as back up to the Event Director.

Requirements, Experience and Education:

  • Bachelor's degree or equivalent
  • Three (3) years of experience in event planning, as well as extensive experience planning corporate events/conferences and exhibitions for 100-3,000 people.
  • Experience working with complex budgets, preparing financial spreadsheets and tracking expenditures required.
  • Experience communicating with sponsors/clients and managing their sponsorship benefits.
  • Event marketing & copywriting experience is desired.
  • Proficiency in Swoogo and HubSpot is a plus.
  • Travel to execute out of town conferences required (~5 trips/year for 3-5 days each)
  • Must be located in the DFW market. Currently, we are in office 3 days/week with two days WFH.

Organization, Event Planning Experience, Team Management Experience, Time-Management, Sales, Knowledge of Common Reservation Software, Attention to Detail, Team-Oriented, Strong Written and Verbal Communication, Strong Client-Facing Skills, Strong Technology Skills, Marketing Knowledge or Previous Experience, Vendor and Entertainment Research, Initiative, Enthusiasm, Flexibility.

Stand, sit, or walk for an extended period or for an entire work shift. Move, lift, carry, push, pull, and place objects weighing less than or equal to 25 pounds without assistance. Move through narrow, confined, or elevated spaces during event set-up and strike.
