Job Responsibilities
Provide direction and focus to all lifestyle components of a growing mixed-use community designed to enrich the quality of life and enhance the vibrancy of the community for the residents. Provides staff support, customer service, and guidance to the Community Manager/General Manager/Lifestyle Director, to the Association Board of Directors, customers, and other team departments as necessary.

Essential Duties & Responsibilities
The job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included, nor is it expected that all positions will be assigned every duty.

  • Regular attendance and punctuality
  • Develop processes to ensure the consistent delivery of high quality and diverse programs
  • Develop and maintain community relationships and resources to enhance/diversify program development for the benefit of the Association and its residents.
  • Responding to existing residents' as well as potential residents' questions, requests or concerns regarding the Lifestyle Program with prompt friendly professional service.
  • Plan, coordinate and implement programs, classes and signature annual community-wide events.
  • Development of an annual program/event calendar(s). Calendar(s) to include all levels – small to large scale social events and signature events within the set budgetary guidelines.
  • Develop and manage Lifestyle budget providing recommendations to the Community Manager and Association Board of Directors.
  • Establish and maintain relationships and resources that share the same vision and promotes programs and services that have a positive impact within the community and community at large.
  • Manage and/or provide direct execution of event logistics and on-site coordination of the events, programs and activities, including rentals and program space availability.
  • Foster Volunteerism. Develop and coordinate opportunities to encourage involvement of volunteers through the community. Maintain a volunteer tracking program system where skills are utilized in their area of interests
  • Assist Community Clubs/Groups with activities as needed
  • Facilitate and encourage on-going communication between Developer operations and marketing teams, community management and Homeowner Association
  • Attend community meetings as requested
  • Maintain an accurate and comprehensive database of residents for effective communication
  • Conduct and share on-going community surveys to stay connected to the wants and needs of residents
  • Conduct New Resident orientations to share information on programs, events, volunteerism and how to stay connected via the community website in conjunction with the Community Manager's orientation efforts
  • Develop and maintain monthly resident newsletter
  • Assist with content management, community event calendar and monitoring community website on a daily basis, adding fresh content and updates

SPA Responsibilities, if applicable:

  • Day-to-day operations of the health spa, maintaining an orderly, welcoming and professional environment.
  • Responding to residents' requests and concerns with prompt friendly professional service.
  • Recording, organizing and responding to resident questions and requests pertaining to the spa programs.
  • Answer telephone calls from residents and outside vendors.
  • Project and promote a positive community and company image.
  • As necessary, be available to assists with community wide events, evenings and weekends.
  • Enters data onto the daily log, outlook calendar and bulletin boards.
  • Assists Spa Director with maintaining operations acting as liaison to residents when Spa Director is not available.
  • Wipe down equipment periodically, perform light cleaning in between porters' daily cleanings.
  • Oversee porter and lifeguard staff.
  • Check all pool chemicals and controllers and record in log book.
  • Perform hourly safety checks throughout facility.
  • Open and close Spa correctly. Lock and secure all exit and doors.

Additional Duties & Responsibilities

  • Practice and adhere to FirstService Residential Global Service Standards.
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks and other related duties as assigned.

Supervisory Responsibility

  • This position does not require any supervisory responsibilities???
Education & Experience
  • Minimum of 2 years' experience in a customer service role; experience coordinating activities and events a plus
Knowledge, Skills & Proficiencies

  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats and in a timely manner
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.

Computer and peripherals, standard and customized software applications and tools, and usual office equipment.
