Job Description:


FIRST TEAM AUTOMOTIVE GROUP is seeking a qualified and experienced AUTOMOTIVE BILLING CLERK to join their Team!!

While Automotive Billing Clerk experience is preferred, we are willing to hire and train the right, qualified candidate!

RESPONSIBILITIES (include, but not limited to):

  • Finalize deals in CDK
  • Maintain monthly deal logs & commission log and balance to monthly totals
  • Update deal status in Frog Data
  • Scan & email Finalized Recap sheets to email list
  • Issue checks for vehicle trade payoffs; maintain log and follow up on titles
  • Order duplicate titles, when necessary
  • Assign store ownership of titles
  • Maintain missing trade title log
  • Process wholesales in CDK and assign titles
  • Maintain wholesale log and balance to GL accounts
  • Maintain monthly trade ACV log
  • Check for funding daily and remit paid deals to DMV desk with MSO/ Title
  • Review schedules:Verify required documentation is included in deals and is accurateCommunicate with F&I and Sales personnel for any missing / incorrect items
    • CIT
    • Vehicle Receivables
    • We Owe
    • Wholesale / DX Receivables
    • Lien Payoff
    • Vehicle Inventories
    • Aftermarket
    • Factory specific receivables
  • Maintain customer refund checks and verify nothing is due from customer before mailing checks out
  • Code transport invoices and post in AP, review transport payable schedules
  • Add New & Used vehicles to inventory and post in GL ; maintain stock number log
  • Track outstanding purchase unit titles and follow up
  • Process Dealer Exchanges and follow up on outstanding paperwork / checks/ MSO’s
  • Process DX Driver pay sheets and issue Expense reimb checks
  • Receipt in checks, as needed
  • Pull eligible vehicle titles / MSOs / Invoices to be floored
  • Issue checks, as needed
  • Communicate with store personnel / Bank / DMV, in a professional and timely fashion
  • Create & reconcile AVP warranty spreadsheet monthly
  • Process courtesy deliveries
  • Maintain supplies and order POA’s / Blue Reassignments / DMV Temp Tags
  • Pull contracts and send out, when needed
  • Empty Inter- company boxes and disburse items, when needed
  • Create & send out UPS packages, when needed
  • Send out mail from daily box runs, when needed
  • Process DMV, scan to deal and post bundles, when needed
  • Process Product cancellations, as needed
  • Provide additional administrative support as needed
  • Maintains professional appearance.

This position has no supervisory responsibilities.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The employee is occasionally required to sit, climb, balance, stoop, kneel, crouch or crawl. The employee must frequently lift and move up to 10 pounds and occasionally lift and move objects up to 25 pounds. Specific vision abilities required by this job include

close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Position Type/Expected Hours of Work:

This is a full-time position. Days and hours of work are Monday through Friday, 8:00

a.m. to 5 p.m.

Experience and Skills:

Job Requirements (include, but not limited to):

  • 2 or more years of accounting experience, particularly in BILLING
  • Automobile Dealership Billing experience preferred
  • Medical or Insurance Billing Clerk experience welcome, although some training required
  • Previous experience working in a busy office environment preferred
  • Strong attention to detail
  • Professional decorum and dress
  • High school diploma or equivalent

Required Education and Experience:

High school diploma. Preferred Education and Experience in automotive industry preferred but not required.
