Position Title: Proposal &Marketing Associate

Immediate Supervisor: Vice President of Business Development

Overall Responsibilities: The Proposal & Marketing Associate is responsible for the overall support of business development initiatives, proposal compilation, social media postings and support the development and implementation of the company’s marketing strategy. This position works closely with the executive management team and the vice president of business development to support and execute marketing materials and initiatives. The Proposal & Marketing Associate will also assist the estimating, project management, human resources, and operations departments when applicable.

Essential Functions:

Proposals

  • Produce, edit, and assemble marketing proposals and project bid proposals, to include flip page software when appropriate using InDesign.
  • Produce, edit, and assemble preconstruction services proposals, short form proposals, ROMs, and model room proposals.
  • Review and ensure fulfillment of RFP requirements.

Estimating

  • Act as a liaison between the estimating department and the sales and marketing department.
  • Ensure information pertaining to bid opportunities is properly communicated, including RFP & RFQ (request for proposals/qualifications) requirements and due dates.

Marketing

  • Manage/support the development of innovative marketing techniques.
  • Produce and/or maintain all marketing media and collateral; including company logo, company font, project photos, design fabrication, company letterhead, business cards, etc.
  • Manage, maintain and enhance social media visibility for the company across the various platforms used.
  • Manage before/after photo shoots for projects as directed.
  • Compose press releases, newsletters, e-blasts, marketing blurbs, and award submittals.
  • Compose any additional written material as assigned (ex. letters of recommendation/reference).
  • Develop customized presentations, ensuring accurate data and content.
  • Oversee prep work and follow-up of business trips and events/conferences, including research and meeting organization.
  • Update and maintain the company website using WordPress.
  • Oversee inventory of marketing and proposal supplies.
  • Establish and maintain a centralized archive of presentations, marketing materials, and communications including electronic files.
  • Ensure capture of relevant content/experience (EG. Bios, head-shots, past performance, etc..) of new hires during onboarding.
  • Produce post-model room lessons learned reports for client distribution, as needed.
  • Enter contacts and leads into CRM Software.
  • Manage client holiday card and gift distribution.
  • Manage special projects when needed.

Conferences & Travel

  • Provide support in developing agendas, setting meetings, gathering collateral, and coordinating logistics for industry conferences.

  • Participate in local/regional trade shows as needed.

Experience

  • Proficiency in using Microsoft Office Suite software; Adobe Creative Suite/Cloud with advanced proficiency of InDesign is a must.
  • BA degree in Marketing, Public Relations, Communication, Writing or related discipline preferred.
  • 4 – 7 years marketing experience in construction industry preferred.
  • Excellent organizational skills; ability to manage multiple requests, assess priorities, and achieve solutions under deadlines.
  • Excellent attention to detail skills in all areas, including writing, editing, researching, and managing data.
  • Must possess proficiency in internet marketing and social networking.
  • Excellent organizational and communication skills.
  • Ability to prepare focused and creative written materials.
  • Self-starter with problem solving skills and good follow through skills.
  • Flexibility and willingness to work hours needed to fulfill the responsibilities of the position.
  • High degree of motivation, with driving sense of responsibility, accountability, and responsiveness.
  • Ability to interact with all levels of an organization in a professional, diplomatic and tactful manner.
