Fiesta Hyundai is seeking a dedicated and customer-focused individual to join our team as a Parts Representative. As a Parts Representative, you will play a crucial role in assisting customers with their parts-related inquiries, needs, and orders. Additionally, you will be responsible for providing exceptional customer service, ensuring a well-stocked and organized merchandise area, and maintaining a clean and welcoming environment. Effective communication with customers through various channels such as email and text messages will also be an essential part of this role.

Key Responsibilities:

  • Assist customers by addressing their parts questions, needs, and orders.
  • Greet customers in a friendly and professional manner, creating a positive first impression.
  • Ensure that merchandise is stocked, front faced, and readily accessible to customers.
  • Maintain a clean and welcoming environment in the parts department.
  • Communicate with customers promptly and professionally through email and text messages.
  • Thoroughly inspect service repair orders and parts invoices for accuracy, completeness, and legibility.
  • Transfer information accurately from repair order hard copies to soft copies, reconciling the repair orders.
  • Calculate the total retail price for parts, fluids, materials or shop supplies, labor, and taxes, ensuring accuracy.
  • Collect payments from customers in cash, check, or authorized charge accounts and provide proper change and receipts.
  • Document charge purchases according to established policies.
  • Calculate and enter applicable warranty charges.
  • Complete the accounting section of repair orders as directed by the business manager.
  • Update the customer's service history file based on department-specific procedures.
  • Deliver closed repair orders and parts invoices to the business office on a daily basis.
  • Maintain effective labor rate control forms as instructed by management.
  • Handle daily cash transactions in the assigned money box and account for incoming and outgoing cash accurately.
  • Ensure proper control and distribution of keys associated with completed repair orders.
  • File repair orders according to service department management's instructions.
  • Answer incoming calls to the service department, transfer calls to the appropriate personnel, and take messages when necessary.
  • Forward sublet bills associated with repair orders to the business office and maintain proper documentation.
  • Provide courteous and helpful assistance to all customers and promptly seek management's support for escalated issues.
  • Maintain a professional personal appearance that aligns with dealership standards.
  • Report any safety, welfare, or integrity concerns regarding the dealership, employees, or customers to management.
  • Perform additional administrative tasks as assigned by management.

Qualifications:

  • Previous experience in a customer service or parts-related role is preferred.
  • Strong communication and interpersonal skills.
  • Excellent attention to detail and accuracy.
  • Ability to handle cash transactions and basic accounting tasks.
  • Proficient computer skills, including experience with email and text messaging.
  • Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
