Fehr & Peers is Hiring a Senior Administrative Specialist/Project Coordinator Near Walnut Creek, CA

Are you enthusiastic about contributing to a company dedicated to transforming transportation infrastructure and promoting sustainability within local communities? We are seeking a temporary Senior Administrative Specialist/Project Coordinator to join our team part-time in our Walnut Creek office. 

Conveniently located near Walnut Creek BART, our office consists of 30 staff who are committed to making a positive impact. In this role, you will be instrumental in supporting our team’s operations and contributing to the success of transportation projects.

We’re seeking an efficient and detail-oriented individual who thrives in a collaborative, fast-paced environment. This position will be temporary from April 29th through August 2nd, with the potential for extension. The schedule will consist of at least 20 in-person hours per week. Responsibilities

  • Efficiently manage administrative tasks to support project setup within our VantagePoint database, including contract review, invoice processing, and oversight of other project-related administrative duties as required 
  • Partner with project managers to support administrative project tasks 
  • Act as liaison between project managers and the accounting department on billing revisions and invoice changes 
  • Manage project-related paperwork, including insurance certificates and business certifications
  • Organize and produce electronic and hard-copy deliverables for proposals and projects
  • Contribute to companywide administrative initiatives for enhanced collaboration and services
Qualifications
  • 5 years of experience, preferably in Architecture and Engineering (A&E) or consulting
  • BS/BA in Business Administration, Management, Accounting, or a related field, or equivalent work experience
  • Intermediate to advanced proficiency in Microsoft Office Suite and Adobe Professional
  • Familiarity with accounts receivable and accounts payable processes, and data entry
  • Collaborative and solutions-oriented mindset with a strong client focus and professionalism
  • Flexibility in managing requests in a fast-paced environment
  • Excellent time management and organizational skills 
Additional Desired Qualifications
  • Knowledge of database reporting
  • Previous experience with Deltek Vision/Vantagepoint
  • Copyediting skills and proficiency in Adobe InDesign for graphics and design
  • Experience with project proposal process

$35 - $40 an hour
The salary range for this position is $35-$40 an hour. Placement within the stated pay range will be determined based upon education, experience, and qualifications.
