Job Summary

Work related to the oversight and performance of highly responsible administrative, technical, and legislative work in support of City Council meetings and decisions, as well as additional boards and legislative bodies as guided by statue. Provides direction and leadership to the City Clerk's Office in one or more areas including strategic planning, policy development and implementation, program planning and development, administration, and staff engagement.

Essential Duties and Responsibilities

The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all inclusive.

  • Coordinates and prepares agendas for all City Council meetings and work sessions.
  • Records and maintains proceedings (minutes) of all regular City Council meetings.
  • Maintains historical and legislative records for the municipal corporation.
  • Administers, prepares, and coordinates all City elections in accordance with state and local laws.
  • Secretary to the municipal corporation, Secretary to the Board of Directors of the Electric, Stormwater, Water and Wastewater Enterprises, Secretary to the Boards of Directors of the General Improvement District and the Urban Renewal Authority; Deputy County Clerk for voter registration purposes, and Facility Manager for Passport Acceptance Facility.
  • Ensures proper posting, distribution and publication of official and legal notices.
  • Provides staff support to City's Liquor Licensing Authority, select Council committees and other committees or task forces as assigned.
  • Processes, transfers, and renews liquor licenses.
  • Coordinates the recruitment, application and appointment processes for the City's boards and commissions.
  • Responds to inquiries for information about City government operations and City Council legislation and decisions.
  • Maintains custody of City Seal and executes official City documents.
  • Monitors and suggests new technology applications to various processes, e.g. Council agendas, document management, and elections.
