Client Services and Marketing Assistant

We are a service-oriented financial consulting firm providing an array of services, ranging from investments to insurance and retirement services. Our office is in El Paso, TX and provides a comfortable, professional work environment. As an independent financial firm, we value independence and maintain the highest professional standards. Our team has over 50 years of experience helping our clients meet their financial needs. We are looking to grow our team with motivated individuals who will provide excellent client service to our practice.

Qualifications

Must be passionately committed to serving and caring for other people. Must be able to handle multiple projects simultaneously and operate successfully under deadlines. Must be able to follow directions while knowing when to take the ball and run with it. Software experience in Microsoft Word and Excel is required. Familiarity with PowerPoint is helpful. Financial licenses a plus (not required upon hiring, but will be responsible for obtaining within first 12 months of employment).

Job Responsibilities

  • Assist with data entry of all clients financial/non-financial information
  • Assist team with preparation of client/prospect meetings
  • Anticipate the needs of the team and handle them proactively
  • Assist team with client/prospect correspondence
  • Prepare and send outgoing mail and e-mails
  • Track and provide updates to Operations Analyst for all pending business paperwork (i.e. when documents are outstanding, track and tally all outstanding work weekly)
  • Review and complete forms correctly and submit them within one business day
  • File client statements, correspondence, and agreements completely within five business days
  • Use excellent customer service skills to build client relationships
  • Manage inbound and outbound phone traffic and handle all client service issues within capacity.
  • Assist in using the CRM system efficiently to schedule client meetings, client touchpoints, and entry of new contacts
  • Stay up to date and regularly review Commonwealth news items, technology updates, and e-mail communications; keep team informed of updates and changes
  • Track and order all supplies and manage vendors
  • Assist team with marketing efforts, such as following up with referrals, updating contact management system with names of prospects, and spearheading drip mailing programs for prospects and clients
  • Assist coordinating and organizing seminars and events and manage follow-up items
  • Assist coordinating annual client appreciation events
  • Perform mail merges as directed by team lead
  • Assist coordination production and mailing of monthly client newsletters, statements, and cards
  • Assist with maintaining the client gift and holiday card programs
  • Assist with client touch points
  • Efficiently use firms marketing services
  • Assist with coordination of online presence
  • Anticipate the needs of the team and handle them proactively

Required knowledge/skills/competencies

  • At least 1 year of financial services experience required
  • Ability to grasp a strong understanding of financial industry and obtain industry licenses (SIE exam, Series 7, and Series 66) within first 12 months of employment
  • Ability to maintain compliance, confidentiality, and privacy standards per industry regulations
  • Previous marketing experience and demonstrated office clerical skills
  • Excellent phone etiquette, face-to-face interaction, and customer service skills
  • Outstanding computer skills, including proficiency with Microsoft Office suite (Word, PowerPoint, Outlook, and Excel)
  • Ability to work well within a team setting, interact with various personalities, and maintain a positive, flexible attitude
  • Excellent organizational and time management skills, high attention to detail, able to handle multiple tasks and operate under tight deadlines
  • Ability to work independently and differentiate between matters that should be handled alone versus those that require assistance
  • Ability to identify and solve problems and effectively communicate client concerns
  • Quickly become proficient in using firm’s resources and technology platforms
  • Proofreading (quality assurance) skills to ensure that own work is in accordance with team and compliance criteria

Job Type: Full-time

Pay: $17.00 - $24.00 per hour
