Farmingdale State College is Hiring an Administrative Coordinator - Capital Projects and Construction Near Farmingdale, NY

The Administrative Coordinator for Capital Projects and Construction performs a wide-range of duties to support the Office of Capital Projects and Construction, including office management, tracking of information, drafting and preparation of reports and other correspondence, handling phone and direct inquiries to the office, and other administrative duties as assigned.

Capital Projects and Construction Administrative Support

  • Provide support to the Capital Projects and Construction project teams including the processing of requisitions in the FMS system and assist in reconciliation of Purchasing Card statement for Office of Capital Projects and Construction.
  • Coordinate and schedule meetings and conference calls (in-person, Teams, Zoom, etc.), prepare agendas, and reserve and prepare meeting rooms for departmental and committee meetings.
  • Prepare and disseminate various reports and other information in preparation for meetings.
  • Gather data, update, and distribute department Monthly Progress Status Report.
  • Maintain the Capital Projects and Construction webpage to ensure accurate information is presented.
  • Maintain current contractor and staff contact information database.
  • Act as Records Coordinator for the department; maintain an appropriate file system; and ensure compliance with FSC Record Retention Policy and SUNY/NYS retention schedules.
  • Arrange and coordinate travel schedules and various reservations, including registering for virtual and in-person conferences
  • Prepare and send various correspondence relative to Capital Projects and Construction operations.
  • Maintain Director and Asst. Director of Capital Projects and Construction calendars.
  • Provide general administrative support to the Director and Office of Capital Projects and Construction

Job Requirements:


MINIMUM QUALIFICATIONS:

  • Bachelor's degree.
  • Proficient with Microsoft Office Suite (word, excel, PowerPoint, outlook) and Microsoft Teams.
  • Ability to manage multiple projects simultaneously.
  • Experience working as part of a team.
  • Excellent verbal and written communication skills.
  • Ability to work independently.

PREFERRED QUALIFICATIONS:

  • Degree in Business, Engineering, Architecture, Construction Management or similar discipline.
  • Experience with Oracle based financial systems.
  • Previous construction administration experience.
  • Graduate of Farmingdale State College.
Additional Information:

This is a full-time UUP position.

  • For the first 10 working days, beginning Wednesday, October 25, 2023 and ending Tuesday, November 7, 2023, applications will be limited to UUP Farmingdale.
  • CLOSING DATE FOR RECEIPT OF APPLICATIONS: Thursday, November 23, 2023
  • Salary: $50,000 $3,026 in downstate location pay = $53,026 Total Annual Compensation.
