The Office Supervisor performs various procedures associated with supervising front office staff including training staff to handle routine patient encounters; and maintaining a positive relationship with patients, family members, other visitors, and fellow employees. Job Duties:
Trains staff to handle all phases of the new patient encounter, including the collection of co-pays, and printing of the super bill, verify and input new patients name, address, phone number and health coverage, and direct patients to appropriate clinic locations as indicated by the schedule.
Performs administrative work 8hrs per day and work the front desk as needed
Monitors outside front lobby area and is ready to assist if patients or visitors encounter difficulties.
Assists with insurance referrals
Reschedules patients as needed
Approves employee timecards
Handles patient or staff issues/problems as they arise
Keep patients informed of appointment delays
Check department tasks and portal messages daily
Audits daily reports for department, minimizing errors
Scrubs schedules
Monitors kiosk usage, and promotes usage
Call No Show appointments, and reschedule
Promotes good relations with back-office staff and providers
Supervises assigned receptionists and communication center employees
Monitor GNAV and phones
Assist with phone calls
Responsible for department employee reviews as assigned
Reviews oversights in department and retrains employees as needed
Performs all other assigned duties.
Qualifications:
High School Diploma or equivalent; BA in Medical Administration preferred
1-year Supervisory experience or 5 years medical front office experience; 3 years Supervisory experience preferred preferably in a healthcare setting
Friendly and courteous when interacting with patients as well as co-workers.
Remain professional and personable when addressing/handling a patient concern or complaint.
Excellent verbal, written and interpersonal communication skills.
Proficient computer software skills in MS Suite and EPM/EHR, preferably NextGen
Demonstrated experience in establishing and maintaining effective working relationships with physicians, staff, patients, vendors, and other stakeholders.
Demonstrated experience in exercising high degree of initiative, judgment, discretion, conflict resolution, and decision making
