GIK Administrator

REPORTS TO: Program Manager

FLSA: Part-Time, Non-Exempt


Position Summary:

The Gift in Kind (GIK) Administrator will assist and support the Procurement Officer with administration of the Gift in Kind (GIK) program. The role also includes assisting in various supportive administration tasks in the Operations department.

Essential Duties and Responsibilities:

  • Become familiar with LeSEA Global Feed The Hungry (FTH) and our current GIK program
  • Effectively manage the GIK process after point of sale (POS) through close of transaction
  • Maintain GIK database by accurately recording, monitoring, and documenting all donations
  • Maintain and ensure compliance of agency mission, independent financial audit, valuation-recording practices, vendor end-use policies, etc.
  • Follow up with donor and receiving agencies to ensure compliance and documentation accuracy.
  • Perform various administrative tasks such as documentation generation, file management, record keeping, etc.
  • Monitor and assist with supply chain management, inventory controls, and shipment tracking
  • Process new partner agency applications or inquiries for assistance
  • Support Procurement Officer as necessary with projects and tasks related to GIK program
  • Support Program Manager and Director of Ministry Programs in various administrative needs of Operations department (including but not limited to assisting in retrieving and filing receipts from international partners, keeping track of food inventory, and other tasks as needed)
  • Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations
  • Positively represents the ministry of Feed The Hungry, including its mission statement and core values, to all outside constituencies.
  • As a Christian organization, Feed The Hungry believes it is critical that team members embrace the organization's religious purposes for which it exists, and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis and that candidates will be engaging with donors and supporting donors with prayer.

Qualifications and Competencies:

  • Strong communication skills in person, through writing and over the phone
  • Ability to qualify caseload donors and create specific financial goals for each donor
  • Ability to create a personal contact plan for each donor in a timely and cost-effective manner that promotes retention and upgrades of donor
  • Ability to manage people, processes, deadlines and budget while adhering to the policies and procedures of Feed the Hungry
  • Strong understanding of Microsoft Excel and Google Services
  • Flexibility in working with peers, subordinates and management, while maintaining a positive and constructive approach to solving problems
  • Strong sense of self-motivation and the ability to work independently as well as collaboratively
  • Strong problem-solving skills and the ability to think creatively and outside of the box for what needs done to accomplish the work
