Faith Regional Health Services is Hiring a Health Information Specialist I Near Norfolk, NE

Work Status Details : Part Time Benefit Eligible | 24.00 Hours Every Two Weeks
Exempt from Overtime : Non-Exempt
Shift Details : 8am - 4:30pm, M-F, days may vary
Department : Health Information | Reports To: Director-Heath Information

The mission of Faith Regional Health Services is to serve Christ by providing all people with exemplary medical services in an environment of love and care.

Summary:

Reviews inpatient and outpatient electronic medical records for incomplete or missing items, identifies the responsible practitioner and assigns deficiencies to the appropriate practitioner for completion. Also monitors the status of incomplete medical records and notifies practitioners of pending and delinquent medical records. Assists and trains physicians in navigation of the electronic document management system to and trouble-shoots physician issues to facilitate completion of medical records. This position also assists with release of information. Responsible for fostering high levels of customer service in releasing protected health information to authorized individuals. Answers and handles external phone requests for health information as well as walk-ins, fax requests and mailed requests.

Responsibilities:Essential Job Duties and Responsibilities:

  • Answers department phone calls in a timely and courteous manner, providing good customer service and clear and accurate communication during phone conversations as well as messages.
  • Demonstrates competent knowledge of phone features including transferring calls and accessing and retrieving messages. Takes clear messages including name, date, time, phone number, subject/message, who took message, etc.
  • Handles all walk-in release of information requests and all clinics and hospitals for continuing care.
  • Demonstrates ability to locate charts within office.
  • Meets physicians and customers’ needs regarding phone etiquette, acknowledge and assisting when customers enter department.
  • Can resolve and change chart deficiencies, make new printouts, identify errors.
  • Can identify duplicate medical record numbers and notifies designated person.
  • Identifies when wrong patient information is on wrong patient account and notifies appropriate person
  • Complies with procedure for destroying confidential information.
  • Easily identify and locate needed microfilm reels.
  • Performs analysis on inpatient and outpatient online medical records. Selects appropriate assignments from deficiency and unlinked work queues.
  • Encounters are reviewed on a timely basis to meet department goal of three (3) days post discharge.
  • Assignments are worked in order of priority by discharge date.
  • Performs analysis on loose batches according to department policies and procedures.
  • Listens attentively to questions and issues raised by practitioners and provides timely response to identified issues.
  • Communicates issues and trends to director or designee.
  • Physician feedback reflects positive training experience and responsiveness to needs.
  • Accurately locates dictated reports in dictation system or error queue.
  • Checks error queue daily and corrects reports so they transmit to the correct encounter number within the electronic document management system.
  • Monitors reanalysis work queue daily and reassigns deficiencies where appropriate.
  • Monitors and works on assignments within specified queues (per FRHS policy).
  • Encounters in reanalysis queue are worked on in priority order by date of assignment.
  • Uses initiative and creativity to encourage physician compliance with chart completion policies.
  • Ensures documents scanned within 24 hours of visit during regularly scheduled work week.
  • Provides follow-up and feedback to department director or designee when determines quality or any other issues encountering with a specific department.
  • Keeps processes and workflow organized in a manner that is understood by all staff within department.
  • Maintains turnaround time based on department expectations.
  • Keeps work area in a clean and organized manner
  • Acknowledges and follows procedure for record destruction
  • Duties are performed according to established guidelines, within an established timeframe
  • Will serve as backup and support staff to Scanning and Release of Information processes as needed.

Hours will be dependent on patient census and workload. Ability and willingness to work a flexible schedule, to include after-hours and weekends as necessary.

The requirements listed below must be representative of the knowledge, skills, minimum education, training, licensure, experience, and/or ability required.

EDUCATION:

Associate Degree preferred.

EDUCATION FIELD OF STUDY:

Health Information Management preferred.

Previous Experience Requirements:

EXPERIENCE:

Combination of 2-4 years of education and experience in position field required.

Previous medical records experience preferred.

Previous healthcare experience preferred.

1-2 years of previous experience in field preferred.

Skills/Knowledge Requirements:

SKILLS:

Ability to read, write, speak, and understand the English language required.

General office skills required.

Time management required.

KNOWLEDGE:

Medical terminology preferred.

Medical records practices preferred.
