Job Description:
DEPARTMENT: Athletics
POSITION: Coordinator of Equipment Operations and Services
BASIC FUNCTION: Responsible for managing all aspects of athletics equipment room operations and apparel management including but not limited to:
  • Purchasing of athletic equipment and apparel,
  • Sizing and issuing of equipment and apparel to student-athletes,
  • Ensuring safe and proper fit of all equipment and apparel,
  • Maintenance and repair of all equipment,
  • Manage inventory of athletic uniforms, equipment and supplies,
  • Coordinate the maintenance, cleaning, and storage of athletic equipment including the operation and maintenance of the athletic laundry facility,
  • Administer athletic department shipping and receiving,
  • Supervise, plan and prepare equipment set-up and take-down for scrimmages and games,
  • Direct, schedule, and train student workers, and interns.
UNUSUAL WORK CONDITIONS: Potential exposure to bloodborne pathogens in accident/emergency situations.
KNOWLEDGE AND SKILL NEEDED:
EDUCATION: Bachelor's degree; Master's degree preferred or equivalent related experience.
EXPERIENCE: Two years' experience as an Athletic Equipment Manager or Graduate Assistant within a collegiate athletics equipment room preferred.
REQUIREMENTS: Excellent organizational and communication skills. Ability to multitask. Experience implementing and managing inventory control systems, purchasing, fitting and repairing equipment and apparel. Knowledge of NCAA rules and regulations pertaining to uniforms and equipment. Team player who is focused on providing an exceptional equipment management experience for student-athletes, coaches and staff. Flexible work scheduling which includes night and weekend attendance at games, meetings, and events.
AEMA Certification (or the ability to become certified within one year of appointment).
SUPERVISION OF PERSONNEL: Work-Study Student Staff, and Interns
REPORTS TO: Associate Director of Athletics/Facilities & Operations
ESSENTIAL FUNCTIONS:
Oversees the Equipment Room operation and supervises student assistants/interns.
Works closely and cooperatively with student-athletes, coaches, faculty, staff, and administrators to provide a first-class experience and high level of service ensuring that the needs of the student-athletes, coaches, and visitors are met.
Advises and assists coaching staff with the selection, sizing, and ordering of team equipment and team apparel.
Maintains clean and organized equipment room areas and ensures proper storage of athletic equipment.
Properly fits student-athletes individually in accordance with NOCSAE and AEMA standards.
Maintains accurate and up-to-date inventory records for all varsity sports. Develops efficient methods of issuing, collecting and storage of athletic equipment and apparel. Keeps records of sizing and equipment issued to individual student athletes for reconciliation at end of year.
Participates in an annual inventory of the equipment room and athletics facilities.
Develops laundry schedule to facilitate game and practice schedules while providing laundry services including, but not limited to laundering loops, uniforms, and towels for all athletics programs.
Sets up locker rooms for home games and assists with packing of uniforms and apparel for away games.
Reconciles all shipping and receiving of equipment and apparel adhering to prescribed athletics procurement procedures. Inspects deliveries for proper quantities and to see that it conforms to prescribed specifications. Follows University and athletics guidelines in the purchase of all equipment and services. Reviews and verifies correctness of invoices for payment.
Ensures that equipment is cleaned and maintained. Evaluates the condition of equipment and makes recommendations for replacement.
Makes minor repairs and adjustments to athletic equipment as needed. Schedules major repairs and reconditioning with equipment reconditioning company describing repairs to be made and dates of pickup and return.
Assists in the recruitment, supervision and scheduling of student workers and interns. Trains graduate assistant, student workers, and interns on policies and procedures relative to inventorying, laundering, issuing, and maintaining apparel and equipment.
Fosters, builds, and maintains relationships with vendors and equipment manufacturers.
Recommends the purchase of specialized equipment (storage racks, tools, etc.) needed to effectively operate the athletic equipment room.
Assist in various game day facility and event operations and with the administration/operation of special events/championships hosted by the University and the department including field set-ups, locker room assignments for visiting teams, and communication with visiting teams and officials for laundry, locker room, and shower needs for when they are on this campus.
Receives annual written approval from the Director of Athletics and the President prior to receiving any athletically related income and benefits from sources outside the institution including contractual agreements and letters of appointment. Sources of income shall include but are not limited to: income from annuities; sports camps; housing benefits (including preferential housing arrangements); country club memberships complimentary ticket sales; television and radio programs; and endorsements or consultations with athletics shoe, apparel or equipment manufacturers.
Works independently, exercises judgment, and manages projects under the direction of the Associate Director of Athletics/Facilities & Operations. Plans all day-to-day work and prioritizes work assignments as well as new projects as assigned.
Participates in the professional development by attending departmental staff meetings as requested, monitoring developments in Athletics through membership in professional associations, and attending workshops and seminars, and in the reading of professional literature.
Support the university and departmental mission, vision and cultural commitments, including participating in community service activities as possible.
Ensures compliance with all NCAA, MAAC and CAA rules relating to equipment operations.
Performs other related duties as directed by the Associate Director of Athletics/Facilities & Operations and/or as dictated by responsibilities.
