Project Manager - Facilities Management

Summary:

The Project Manager will lead the planning, execution, and completion of complex facilities management projects, including building maintenance, facility consolidations, lease negotiations, and ongoing landlord management. The ideal candidate will possess a strong background in facilities management along with proven project management expertise and experience with ProLease Accounting software.

Responsibilities:

  • Manage all phases of facilities management projects, from initiation and planning to execution, monitoring, and closure, with a focus on building maintenance and facility consolidation initiatives.
  • Develop and maintain project scope, timelines, and budgets for building maintenance, consolidations, and other facilities projects, ensuring adherence to all established parameters.
  • Oversee the selection, procurement, and management of vendors and contractors in partnership with Executive Leadership for building maintenance, renovations, and other project needs.
  • Ensure all projects comply with relevant building codes, safety standards, and lease agreements.
  • Lead and collaborate effectively with cross-functional teams, including architects, engineers, facilities staff, internal stakeholders, and external consultants.
  • Manage the landlord relationship, ensuring timely rent payments, addressing maintenance concerns, and assisting with lease renewals or terminations.
  • Coordinate lease negotiations in partnership with external consultants, leveraging ProLease Accounting software to ensure accurate lease data and cost tracking.
  • Set up and maintain comprehensive facilities dashboards that track monthly costs, project status, key lease dates, maintenance requests, and other critical information.
  • Analyze project and facilities data to identify opportunities for continuous improvement in project delivery, building operations, and cost efficiency.
  • Manage project budgets effectively, identifying potential cost overruns and implementing corrective actions.
  • Leverage facilities management expertise to ensure projects meet the functional and operational needs of the facilities, optimizing space utilization during consolidations.

Qualifications:

  • Bachelor's degree in Facilities Management, Construction Management, Engineering, or a related field (or equivalent experience).
  • Minimum of 7 years of experience in project management, with a strong track record of success in complex facilities management projects, including building maintenance and consolidations.
  • Proven ability to develop and manage project plans, schedules, and budgets for various facilities projects.
  • In-depth knowledge of facilities management principles, including building maintenance procedures, space planning, regulatory compliance, and lease administration.
  • Experience successfully managing landlord relationships and negotiating lease agreements.
  • Excellent communication, collaboration, and interpersonal skills.
  • Strong analytical and problem-solving abilities.
  • Proficient in project management methodologies (e.g., PMP).
  • Proficient in the use of Google tools such as Google Workspace and Looker Studio
  • Advanced understanding and experience with ProLease Accounting software for lease administration and cost tracking.
  • Ability to prioritize effectively, manage multiple projects simultaneously, and meet tight deadlines.
