Examworks Group, Inc. is Hiring a Medical Office Assistant- Lead Near Stockton, CA

Overview

The Medical Office Assistant Lead is responsible for assisting with new hire training, auditing clinician cases and queues, preparing examination rooms, recording height and weight, preparing examinees for examination and assisting physicians as needed. Pay for this positon is $23.00 per hour. 

Responsibilities

  • Assist in training new hires / shadow clinicians for additional training or auditing purposes.
  • Audit clinician queues to ensure cases are properly moved through the workflow.
  • Audit clinician cases to ensure each step is followed and clients are notified properly.
  • Audit company SLAs, No-show, and Unable to examine cases to ensure procedures are properly followed.
  • Ensure clinicians are performing all duties correctly and timely.
  • Monitor clinician inbox to ensure items are addressed in a timely manner.
  • Monitor testing request cases to ensure properly followed up on and moved through work flow.
  • Monitor the Finesse phone system to ensure clinicians are logged in.
  • Package and ship supplies as needed.
  • Process incoming/outgoing mail.
  • Assist Clinic Director with any other tasks as needed.
  • Travel to clinics outside immediate area when/if needed.
  • Cover clinics in area for clinicians that call off sick or use PTO.
  • Routes examinee to exam room as needed.
  • Review chart and verifies examinee information is available for examining physician.
  • When necessary, chaperones examinations with female examinees or as requested by physician.
  • Responsible for set-up, maintenance, and cleanliness of exam rooms. Reports any issues or maintenance needs to management.
  • Maintains a smooth flow of examinations to ensure appointments are kept on schedule.
  • Secures patient information and maintains patient confidentiality by completing and safeguarding medical records.
  • Ensures all practices are carried out in accordance with state and federal safety and legal regulations.
  • Performs clerical duties such as typing, filing, emailing, and proofreading as required.
  • Promotes effective and efficient utilization of clinical resources and supplies.
  • Participate in various educational and or training activities as required.
  • Perform other duties as assigned.

ESSENTIAL LEAD RESPONSIBILITIES

  • Carrying out all responsibilities in accordance with the company’s standards, policies, and all applicable employment laws.
  • In conjunction with management, managing and monitoringworkflow and providing support, training, and techniques to assist staff in achieving department daily/weekly/monthly goals and standards.
  • Encouraging positive morale, maintaining harmony among staff, and resolving grievances when necessary.
  • In conjunction with management, communicating change effectively and supporting those affected by change.
  • Evaluating staff performance, providing periodic feedback to staff and reporting any performance concerns and/or recommendations for growth opportunities to management.

Qualifications

  • Must have adequate knowledge of medical terminology, anatomy and physiology.
  • Must possess complete knowledge of general computer, fax, copier, scanner, and telephone
  • Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, and the Internet.
  • Ability to follow instructions and respond to managements’ directions accurately
  • Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
  • Must be able to work independently with minimal supervision, prioritize work activities and use time efficiently.
  • Must be able to maintain confidentiality.
  • Must be able to demonstrate and promote a positive team -oriented environment.
  • Must be able to stay focused and concentrate under normal or heavy distractions.
  • Must be able to work well under pressure and or stressful conditions.
  • Must possess the ability to manage change, delays, or unexpected events appropriately.
  • Demonstrates reliability and abides by the company attendance policy.
  • Must maintain a professional and clean appearance at all times consistent with company standards.

EDUCATION AND/OR EXPERIENCE

High school diploma or equivalent required. A minimum of 6 months on the job experience in an administrative or medical office or related field preferred. Bilingual in Spanish may be required in certain office locations.
