Position Summary:
As a Bookkeeper/Purchasing Agent, you will be responsible for managing financial transactions and purchasing activities within the organization. This role involves maintaining accurate financial records, overseeing purchasing processes, and ensuring efficient procurement of goods and services.

Key Responsibilities:

Financial Record Keeping:

  • Maintain accurate and up-to-date financial records using accounting software or manual systems.
  • Record all financial transactions, including purchases, sales, receipts, and payments.
  • Reconcile bank statements and ensure the accuracy of financial data.

Accounts Payable and Receivable:

  • Manage accounts payable by processing invoices, verifying expenses, and preparing payments.
  • Monitor accounts receivable, follow up on outstanding payments, and maintain contact with vendors and clients regarding billing inquiries.

Budget Management:

  • Assist in the preparation and monitoring of budgets.
  • Track expenses against budgets and report any variances to management.

Purchasing:

  • Identify purchasing needs and source suppliers or vendors for goods and services.
  • Negotiate prices, terms, and contracts with suppliers to obtain the best value for the organization.
  • Place orders for materials, supplies, and equipment while ensuring timely delivery and adherence to budget constraints.
  • Maintain inventory levels and track usage to prevent stock shortages or overages.

Vendor Management:

  • Develop and maintain relationships with vendors and suppliers.
  • Evaluate vendor performance and quality of goods/services provided.
  • Address any issues or concerns regarding product quality, delivery delays, or pricing discrepancies.

Compliance and Documentation:

  • Ensure compliance with financial regulations and company policies.
  • Maintain accurate records of purchasing transactions, contracts, and agreements.
  • Prepare reports on purchasing activities, financial status, and budget variance for management review.

Qualifications and Skills:

  • Proven experience as a bookkeeper, accountant, or purchasing agent.
  • Proficiency in accounting software and MS Office Suite (especially Excel).
  • Strong numerical and analytical skills.
  • Excellent attention to detail and accuracy.
  • Effective communication and negotiation abilities.
  • Ability to multitask, prioritize tasks, and work independently.
  • Knowledge of financial regulations and procurement processes.
  • Diploma or degree in accounting, finance, or a related field (preferred).
