Evergreen Events is Hiring an Event Coordinator Near McMinnville, OR

 FLSA Status:

 Events Manager

Summary

Evergreen Events is looking for a leader who would serve as the point of contact for corporate and private events on our 300-acre campus. The Coordinator will be responsible for touring prospective clients, responding to email and phone inquiries, and coordinating events on the McMinnville Properties campus.

Essential Duties

  • Setting up and attending meetings and calls to go over event details with clients and vendors
  • Creating detailed banquet orders, timelines, and layouts for events
  • Training and scheduling banquet staff

Job Duties

  • Oversees events from start to finish to ensure accurate setup, adherence to timeline and event details, food quality and presentation, and client satisfaction.
  • Assists staff with event setup and breakdown as needed and works with Executive Chef to create menus; Communicates with Executive Chef weekly regarding upcoming events, menu needs, and special orders.
  • Communicates with other departments about staffing needs and business impacts with shared events.
  • Orders and pick up catering items including wine, beer, spirits, and specialty food items as needed.
  • Communicate and schedule services, deliveries, and pickups with vendors, such as linens, janitorial, and event rentals.
  • Negotiates contracts, maintains relationships with preferred vendors, and execute contracts for events.
  • Analyze, track, and report on event ROI based on the predetermined pipeline, revenue, email marketing, project management, and similar systems.
  • Provide logistics support for events. Tasks include scheduling, vendor management, AV services, catering, editing, organizing, and storing content related to events.
  • Continuously focus on improving customer satisfaction to create customer loyalty and deliver a positive event experience.
  • Prepare proposals for clients and maintain well-organized event records.
  • Organizes required catering services and room and communication equipment setup.
  • Manages on-site staffing and registration and determines appropriate responses to problems and emergencies.
  • Displays high standards, fostering trust and cooperation among fellow team members and guests.
  • Provides genuine hospitality to consistently exceed total guest satisfaction.
  • Possesses a positive demeanor, welcomes change, enjoys working as part of the team, and has a desire to serve our internal and external guests.
  • The creative innovator who can contribute new ideas and solutions.
  • Possess excellent communication skills (both written and verbal), is organized, efficient, detail-oriented, and able to effectively manage multiple events simultaneously.
  • Maintains punctual, regular, and predictable attendance and the ability to work a flexible schedule: weekends, evenings, and holidays.
  • Respectfully takes direction from Supervisor.
  • Other duties as assigned.

Supervisory Responsibilities

Supports the Event Sales Manager with the Events-Hospitality Department. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Requirements:

  • Bachelor’s Degree or related discipline.
  • Microsoft Office
  • 2 years of event coordination experience preferred.
  • Knowledge or experience with catering software such as CaterEase, Toast TripleSeat or Curate preferred.
  • Ability to lift and carry up to 50lbs

Certificates, Licenses and/or Registrations

OLCC Alcohol Service Permit and Oregon Food Handlers Card required.
