Job Summary

The MTC Briefing Coordinator is responsible for managing a seamless onsite experience for all engagements and events taking place in the Technology Center in Saint Louis, MO. The responsibilities for this role includes; industry client & stakeholder meetings, scheduling & logistics, SOP & best practices development. Cross collaboration with peers, management, VM, Stakeholders and MTC Staff to ensure continuity and prosperity of the Briefing Coordinator Program, the MTC’s and their customers.


Essential Functions & Responsibilities:

  • Schedule all engagements and events in coordination with the Director and Technical Director
  • Refresh all marketing and partner collateral and maintain inventory
  • Update the engagement schedule on a daily basis and share it with the local facility Receptionist
  • Handle updating the lobby video display that lists the MTC engagements and events
  • Collect all the necessary information for MTC engagements/events with Account Managers (AM) and Lead Architects (LA) (time, date, catering, hotels, special requests, etc.)
  • Maintain and update all internal MTC tools and applications:
  • CRM Tool-
    • create engagement, set internal conference calls between MTC assigned LA and AM, confirm, process and close engagements
    • data entry of engagement and opportunity details
    • process engagement logistics and documents
  • Prepare all customer documents - sign-in sheets, door signage, catering, name badges and MSCompany Store Passes (if applicable) and post to the team portal site
  • Coordinate the ordering of catering for all engagements/events, including the setup/breakdown and cleanup
  • Manage all catering procurement details (coordination of delivery, collection of receipts, and recording billing information)
  • Process all catering related expenses charged to AMEX meeting card and reconcile regularly through MSInvoice
  • Handle the distribution and collection of the engagement evaluation forms; as well as entering feedback data into the MTC Tool
  • Manage pre-engagement arrangements prior to the start of the meeting, which includes the cleaning and setup (meeting logistics –agenda, evaluations, tent cards, pad/pen, etc.) of the various MTC suites/rooms
  • Provide concierge style service to all customers; meet and greet MTC customers as they arrive at reception and escort/direct them to their assigned suite/room as well as assist with any ad hoc requests (local restaurants/take out, hotels, theaters, etc)
  • Participate in regular meetings with MTC Director and/or MTC Technical Director to discuss upcoming engagements/meetings


Qualifications:

  • Bachelor’s degree
  • Extensive experience with Microsoft products and current on Microsoft Industry Trends. Highly proficient in MS Office including Outlook, Word, Excel, PowerPoint
  • Able to quickly learn new tools/software
  • 3-5 years’ experience in Customer Service
  • 2 years planning experience. Experience planning business events – product releases, Trade shows, conferences, etc. If not large in size, must have experience planning several high-level events at once
  • Extremely professional and client focused. Able to interact with all levels of business clients
  • Strong interpersonal and hospitality / customer service skills.
  • Excellent communication skills are a must (both verbal & written).
  • Must be process oriented, organized and have attention to detail, yet also be flexible.
  • Self-motivated and able to keep up in a strategic and fast paced environment.
  • Independent, yet able to follow guidelines well and shows a good sense of judgment. Also able to work well on a team.
  • Comfortable communicating with a global community; i.e. various cultures and languages.
  • Organized and task driven. Strong documentation and communication skills.
