The African Community Center operates a Reception and Placement program for Refugees through ECDC, the Ethiopian Community Development Council. While ECDC was initially created to meet the needs of a growing Ethiopian community, our refugee resettlement program has served clients from all over the world.
The African Community Center of DC Metro (ACC) accepts refugees who have fled persecution in their home countries and have received resettlement in the US. ACC-DC conducts educational and social service programs that help newcomers rebuild their lives in their new communities, navigate US systems and cultures, recover from past trauma, gain personal independence and economic self-sufficiency, and become able, productive, and contributing members of society.
Job Summary: The Donation Assistant supports Donations Coordinator with agency’s donations delivery and pickup activities including apartment set-ups and ensuring refugee clients receive donations. As a member of the Resource Development Team, the Donation Assistant also works with team members to support efforts such as administrative activities, and tasks to procure, distribute, and resources for refugee clients.
Key Responsibilities
In-Kind Donations Pickup:
· Oversee the entire process of picking up in-kind donations from various donors in the DC-Metro area.
· Adhere strictly to the time agreed upon with donors to ensure punctuality and prevent any inconveniences.
· Maintain open and effective lines of communication with donors, updating them on any changes or requirements.
· Display professionalism and courtesy during all interactions, furthering the organization's reputation.
Donation Deliveries & Housing Setups:
· Coordinate and manage the timely delivery of donations and housing set-ups to clients based in Maryland and Virginia.
· Prioritize culturally sensitive communications regarding deliveries to prevent misunderstandings
· Adhere to the delivery schedule, ensuring punctuality and reliability.
· Ensure proper coordination with office staff regarding client deliveries for smooth operations.
Donation Inventory & Tracking:
· Update records regularly to reflect the most recent donations, deliveries, and pickups.
· Maintain a robust and efficient database for in-kind donations.
· Efficiently manage the inflow and outflow of donated items.
· Regularly assess donations to anticipate and address possible delays. Keep the Donations Coordinator and other relevant staff informed, allowing them to plan and adjust ahead of potential inventory shortages for housing setups.
· Ensure that items are stored in an organized manner, making them easily retrievable when required.
Documentation & Reporting
· Diligently log and document official receipts pertinent to donors, client housing setups, and deliveries in the database.
· Support Donations Coordinator in providing donors with timely acknowledgment of their generous contributions.
· Coordinate with case managers regarding client delivery updates and provide documentation for case files.
Resource Management
· Work with Resource Development team members to assist with organization and administrative activities when needed
Education, Experience, Knowledge, Skills and Abilities
· High School Diploma; Bachelor’s degree (B.A. or B.S) preferred
· Excellent verbal communication skills and the ability to communicate effectively with a diverse range of audiences
· Excellent interpersonal and organizational skills
· Self-directed, motivated and able to handle multiple projects at once
· Ability to exercise initiative and judgment and make decisions within the scope of assigned responsibilities.
· Must possess written and verbal communication skills to coordinate internally and externally, manage data entry and other responsibilities.
· Ability to effectively communicate relevant project information to superiors.
· Experience working in a multicultural environment, fluency in Arabic, Dari, Burmese, Kiswahili, Spanish, Russian or other languages and cultures of the local refugee population is preferred.
· Regularly able to lift up to 50 pounds (more on occasion) and experience frequent bending, squatting, lifting and repetitive motion.
· Knowledgeable about and sensitive to the experiences of refugees and immigrants.
· Punctuality and ability to meet deadlines for work, appointments and report dates.
· Must work well in a team setting
· Commitment to the mission, vision and values of ACC.
· A valid driver’s license and access to own transportation required
· Background check and clean driving record.
Licenses/Certifications: Must have a driver’s license and good driving record.
Physical Demands
· Moderate to heavy physical activity, which includes standing, sitting, lifting bulky and heavy furniture items and/or walking.
· Ability to see within normal parameters.
· Ability to hear within normal parameters.
· Requires local travel to collect or distribute donations.
· Ability to maintain emotional control under stress.
Environmental Factors: Work is indoors in a climate-controlled building and outdoors in community.
Contact with Others: Position involves regular contact with resettlement community network, private sector organizations, ECDC/ACC staff and community members.
