We are seeking a highly motivated and customer-focused Property Management Support Specialist to join our dynamic team. As a Property Management Support Specialist, you will play a vital role in providing exceptional customer service and ensuring smooth operations within our property management department. Your primary responsibilities will include handling incoming calls, inquiries, and requests, as well as assisting clients with various tasks. Additionally, you will be responsible for coordinating key checkout processes, greeting clients, managing rental inquiries, and supporting the Property Manager with various administrative tasks. The successful candidate will possess excellent communication skills, attention to detail, and a strong commitment to delivering exceptional service.

Key Job Features:

  • Execute exceptional customer service to exceed client expectations and maintain strong relationships.
  • Serve as the first point of contact for all property management calls, effectively addressing inquiries and forwarding calls to the appropriate staff members when necessary.
  • Check and manage voicemail messages for the property management department, ensuring prompt responses and forwarding messages as needed.
  • Handle property inquiries, provide information to prospective applicants, and facilitate key checkout processes.
  • Oversee key checkout to vendors and monitor timely key returns, maintaining accurate records.
  • Greet and assist clients visiting the office, providing a warm and professional experience.
  • Receipt rents accurately and maintain organized records.
  • Enter relevant notes and information into Appfolio, our property management software, as required.
  • Follow up on any client-related situations and ensure their resolution with professionalism and efficiency.
  • Prepare and post notices in compliance with legal requirements and established procedures.
  • Promptly relay messages and information to the appropriate staff members, property owners, and tenants.
  • Monitor and respond to all emails within a 24-hour timeframe, addressing inquiries and providing necessary information.
  • Assist clients with online applications, guiding them through the process and troubleshooting any issues.
  • Upload relevant information and documents into Appfolio, ensuring accurate and up-to-date records.
  • Support the Property Manager with various tasks as needed, contributing to the overall efficiency of the department.
  • Post late fees to online payments, maintaining accurate records and enforcing policies.
  • Develop and maintain a checklist accessible to all staff and management, ensuring accurate move-out processes and efficient updates in Appfolio.
  • Create specialized marketing materials when necessary and appropriate to enhance property listings.
  • Generate a summary list of available properties (rental list) at least bi-weekly for distribution to walk-in prospects and realtors.
  • Proactively distribute updated rental lists and URLs to local military bases, major employers' HR offices, and other relevant entities.
  • Generate client welcome letters with copies of marketing data (MLS and other) to new clients when properties are added to our inventory.

Qualifications:

  • High school diploma or equivalent; additional relevant certifications or training is a plus.
  • Previous experience in customer service or property management is preferred.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Strong organizational abilities with the capacity to handle multiple tasks simultaneously and prioritize effectively.
  • Proficiency in using property management software (e.g., Appfolio) and other relevant tools.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to work well under pressure and adapt to changing priorities.
  • Strong problem-solving skills and the ability to take initiative when addressing client concerns.
  • Familiarity with local rental regulations and fair housing practices is a plus.
