Pay Range: $15.25-$18.30 per hour. Commensurate with relevant work experience. 

JOB SUMMARY: The Receptionist is responsible for greeting and directing visitors to the Home. The receptionist is also responsible for directing all incoming calls as well as internal calls and performs related services and duties. 

ESSENTIAL JOB FUNCTIONS

  • Greet and assist all incoming visitors, staff and residents in a professional and friendly manner
  • Answer and direct all incoming calls in a professional and friendly manner
  • Use overhead paging system as required
  • Dealing with queries or requests from the customers and public
  • Monitor for wandering residents and assist as required with families, residents and staff with wander guard elevator code
  • Weekly check of wandering system function on all elevators and front door and log accordingly
  • Maintain resident information list including updated floor and room listing of all residents to be used in referring calls and to be used in sorting of mail.
  • Responsible for visitor and resident sign in and out at the front desk when entering and leaving the facility
  • Monitor and log all visiting pets. Assure up to date vaccinations per regulations and maintain in database
  • Train all new receptionist, security officers and coverings staff of responsibilities
  • The receptionist will assist in arranging coverage as required for call-ins, holidays and vacations
  • Responsible for all activities related to the postage meter including, meter all outgoing mail
  • Sort and distribute residents and staff mail. Staff mail to be placed in designated mailboxes
  • Report postage meter usage to appropriate departments
  • Make sure all deliveries are directed to the appropriate people as soon as received. Follow-up should occur if items are not picked up
  • Perform various office procedures: typing, filing, statistics, ordering supplies with approval of supervisor
  • Sell craft items from cases, raffle tickets, lunch tickets, family meal request forms, stamps and other special event items. Collect and log money in cash box on a daily basis or required
  • Maintain cash box. Check and balance money on each shift
  • Notify finance upon request of resident funds
  • Accept donations along with name and address of donor and log in computer so that a letter may be sent. Notify appropriate department of donation
  • Log resident incoming clothing for labeling. Place in closet for laundry staff
  • Prepare resident admission inventory form for security officers upon admission. Log additional resident items brought into facility and assure safety checks
  • Place maintenance and IT work orders in electronic work order system as requested
  • Assist and maintain employee vehicle log
  • Maintain resident face sheet binder and cardex
  • Mail and log My Innerview surveys to discharged rehab residents
  • Assist with condolence cards for deceased residents
  • Maintain Tip Top Shoppe, elevator key and various other keys
  • Schedule family and resident events in Microsoft outlook calendar
  • Assist with release of resident belonging form with residents and families
  • Handle refunds for money lost in vending machines
  • Log daily events and give report to evening receptionist before leaving for the day
  • Check locked mailbox every morning and distribute contents
  • Report any concerns/problems to supervisor in a timely manner
  • Knowledge and proficiency with all emergency responses to include responsibilities during all codes.
  • Attend staff meetings and training as required
  • Organizing, planning, and customer service orientation
  • Great attention to detail and stress tolerance.

  • Should be flexible and possess cultural awareness

Requirements

Qualifications: Must be familiar with clerical practices, office procedures and automated equipment. Excellent phone etiquette and communication skills are required. Must be customer service oriented and driven. Ability to work with a computer using keyboarding, data entry and reporting skills is required. 

Education: A minimum completion of high school diploma is required. 

EXPERIENCE: A minimum of 1 year related experience as a receptionist or in a customer service role is preferred.

Performing duties of this job requires occasional walking and standing in and around the reception area, and lobby. Must be able to occasionally lift loads of 30 pounds without assistance and the ability to sit, talk, and hear is required. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, color vision, and the ability to adjust focus.

WORKING CONDITIONS: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

The majority of essential job duties are performed indoors, in a normal office environment. Being located at the main entrance of the building may expose the employee to drafts and temperature fluctuations.

This position will be required to provide direct care or have access to resident property or belongings

SUPERVISORY RELATIONSHIP: The work is performed within established guidelines, and requires periodic supervision. The employee exercises some initiative and independent judgment to effectively perform the essential job duties of this position.

RESPONSIBILITY FOR OTHERS: The employee has no direct responsibility for others. Will be required to assist in training all new relief and per diem receptionists.

SAFETY RESPONSIBILITIES: Shall be fully acquainted with all safety policies and procedures of the Church Home. Takes an active role in all fire drills during the shift and/or emergencies for internal and external disasters as monitored by supervisor and incident manager. Must comply with facility in-service requirements.

Maintain confidentiality of all information related to the organization, residents, participants, family and staff, that may be encountered, either formally or informally, during the normal course of business. This includes medical and treatment records, financial and human resources information.
