I. JOB OVERVIEW

Job Description Summary:

The Office of Medical Education (OME) serves as the centralized office committed to developing, delivering and managing the curriculum for pre-clinical and clinical medical education. The OME includes staff and decanal faculty and supports faculty, students and curricular committees.
The Program Coordinator, OME assists the course directors of the PPS, Intersession and FCP courses in managing the day-to-day course support activities for the Clinical Public Health and Medical Education Curriculum in accordance with established guidelines and overall needs of the office. In addition, this position will provide support for all four Clinical Public Health summits.
PRIMARY DUTIES AND RESPONSIBILITIES:

  • Provides administrative and management support for UME courses to help create, organize, edit, and distribute course materials to course directors, course mentors, and students using email and Blackboard, GW's learning management system. This includes communicating and coordinating with Course Directors for multiple courses to collect session materials, working individually with session leads on collecting course materials, ensuring materials and communications are tracked, and relaying important information back to the Course Directors as necessary.
  • Manages the coordination, scheduling, and communication for courses this position supports. This includes disseminating schedules, tracking leave and absences, communicating session materials, and tracking grading for course assessments.
  • Coordinates with guest lecturers and panels for session and course logistics, session materials, and technological needs to ensure that guests effectively participate in the MD Program Curricula. This includes working with course directors to schedule guests, communicate logistics and session modalities, and assist guests with inquiries.
  • Trains faculty on OME policies and procedures, using Blackboard, grading processes, and assessment procedures.
  • Manages regular check-in, progress, or standing meetings with course directors throughout the year. Supports logistics for faculty development sessions.
  • Supports exam development, programming, and delivery, including managing and tracking the grading process. In this capacity, this position will advise course directors on relevant exam policies and procedures, train proctors on exam delivery, and coordinate exam grading following MD program guidance.
  • Maintains meticulous records of student progress for each course, including grades, tracking deliverables, attendance, and special circumstances. In doing so, the position will develop and implement more efficient tracking methods for ease of collection.
  • Manages the creation and implementation of attendance-taking procedures and updates all student grades in Blackboard. This includes tracking students on leave of absence during the courses and ongoing student progress toward course completion.
  • Serves as the first point of contact for students, communicates course requirements, and responds to student course inquiries as needed.
  • Manages planning, scheduling, and implementation of the MD Program Clinical Public Health Summits, including working with national stakeholders, planning content delivery, managing space and equipment logistics, and supporting all administrative and communication needs of the Summits.
  • Proctors exams and exam review sessions; attends proctor training and implements process improvements.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Demonstration of experience working in detail-oriented capacity with proven record of accuracy.
  • Demonstrated professionalism and integrity.
  • Prior experience preparing high profile documentation, and maintaining accurate records.
  • Proficient computer skills and in-depth knowledge of MS Office Suite, particularly Word and Excel.
  • Familiarity with Blackboard.
  • Experience working on various projects simultaneously.
  • Excellent communication skills (verbal and written).
  • Detail and goal oriented with the ability to focus on completion of specific projects.
  • Ability to work with minimal direction and effectively manage multiple priorities for multiple parties and frequent changes in work assignments.
  • An interest or background in public health is desired.
