Employment Services Program Assistant

**American Sign Language/ASL a plus/ not required**

Middlesex County

(Full-time/Monday – Friday 8:30 am -3:30 pm)

The Program Assistant delivers effective support across the IDD Employment Services group. In this role, you will use your administrative and communication skills to carry out daily office tasks that include but are not limited to answering phones, record keeping, data entry, and addressing any client concerns. You will also promote and represent Easterseals New Jersey, its mission and values, setting a standard of excellence for best practices, while supporting programmatic goals and initiatives, ensuring the delivery of highly responsive customer service both internal and external.

POSITION DUTIES AND RESPONSIBILITIES:

  • Point-of-contact and responds to questions, concerns, and/or issues pertaining to the IDD Employee Services program
  • Coordinate with management to define program goals and fiscal objectives
  • Serve as the primary contact person and subject matter expert for program policies and procedures
  • Participate in meetings, and trainings for the purpose of providing and receiving information
  • Researches a variety of topics for updated resources that will benefit consumers
  • Create/Manage/Maintain all office records, reporting requirements, data, and documentsaccurately and on time
  • Works on a variety of projects and program components to ensure the delivery of services in a timely manner
  • Respond to Answer phone calls and video phone calls; check mail daily ; assist with letters and documentation preparation
  • Oversees the employment specialist(s) time sheets weekly. Compare billable hours in EHR system.
  • Coordinate meetings with manager and staff team members

QUALIFICATIONS AND EXPERIENCE (List the Knowledge, Skills and Abilities and educational requirements):

  • High School Diploma or equivalent plus some office experience preferred
  • Strong oral and written communication skills; attention to detail; ability to multi-task
  • Highly organized; able to prioritize; multiple priorities; excellent written and oral communication skills
  • Familiarity with Microsoft Office software (Word, Excel, PowerPoint, Outlook)-
  • Specific knowledge-based competencies required to satisfactorily perform essential functions of the
  • Ability to maintain the highly confidential and sensitive information with diplomacy, discretion, and integrity.
  • Flexible, with the ability to work independently and as a team
  • Positive attitude and easy to interact with clients
