JOB SUMMARY
The Contracts Administrator plays a crucial role in the seamless operation and growth of our business by managing the entire lifecycle of client contracts. This position involves working closely with the sales team, legal department, and our clients to ensure that contracts are processed efficiently, accurately, and in a manner that supports our business objectives and client needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Project Management : Oversee and manage projects related to client contracts, ensuring timely and efficient completion of all steps from initiation to closure.
  • Client Contract Administration : Handle the administration and management of client contracts, including Non-disclosure Agreements (NDAs) and Master Service Agreements (MSAs), ensuring all documents are accurate and complete.
  • Contract Flow Management: Manage the flow of contracts in and out of the business, maintaining a detailed and organized system to track progress and completion.
  • Sales Team Collaboration: Work closely with the sales team to understand the specifics of client agreements, provide necessary contract-related support, and ensure sales objectives align with contract terms and company policies.
  • Legal Terms Comprehension : Possess a strong understanding of business and legal terms related to contracts to facilitate the review process with the legal team and ensure compliance with all statutory and regulatory requirements.
  • Priority Management: Efficiently manage competing priorities, ensuring critical contract processes are advanced in a timely manner while maintaining high-quality standards.
  • Client and Internal Follow-up: Act as the primary point of contact for both clients and internal teams regarding contract-related inquiries, ensuring all parties are informed of contract status, changes, or required actions.
  • Facilitate Reviews and Signatures: Coordinate the review of contracts by the legal department and facilitate the obtaining of signatures from both parties, ensuring all contracts are executed accurately and stored properly.
REQUIRED SKILLS AND ABILITIES
  • Proven experience in project management, client contract administration, or a related field.
  • Detail-oriented and task-focused with the ability to manage multiple priorities simultaneously.
  • Strong autonomous work ethic, capable of operating independently with minimal supervision.
  • Excellent communication and interpersonal skills, with the ability to work effectively with both internal teams and external clients.
  • Knowledge of legal and business terms as they relate to contracts.
  • Experience with facilitating contract reviews, obtaining signatures, and ensuring compliance with legal and business standards.
  • Ability to understand and act upon sales team dynamics, including motivating or following up with sales representatives as needed.
KNOWLEDGE, EXPERIENCE AND/OR EDUCATION REQUIREMENTS
  • Bachelor's degree degree in Business Administration, Legal Studies, or a related field preferred but not required
    • In lieu of Bachelor's degree, relevant years of experience may be considered.
  • A minimum of 3-5 years of relevant experience in contract management, project management, or a closely related field.
  • Proven experience in project management, client contract administration, or a related field.
  • Knowledge of legal and business terms as they relate to contracts.
  • Experience with facilitating contract reviews, obtaining signatures, and ensuring compliance with legal and business standards.
