Empire State University seeks a Sponsored Programs Administrator (Research Foundation Title: Senior Administrative Staff Associate) who can continue to grow the university's external funding portfolio. The ideal candidate will provide leadership for pursuit of grants and oversight of sponsored programs in alignment with SUNY Empire's mission and strategic plan. Additionally, the Administrator will take a strategic approach to institutional efforts to obtain external funding through grants, contracts, and other sources.

The Administrator is responsible for the administration and management of the Office of Sponsored Programs in collaboration with the SUNY Research Foundation to ensure compliance with all federal administrative requirements and costing principles, state regulations, grantor restrictions, and university fiscal policies. In collaboration with the SUNY Research Foundation, the Administrator oversees all aspects of proposal administration, sponsored program agreements, and contract negotiation with external agencies. The position assists senior administrators and principal investigators with issues related to externally sponsored research activities and affiliated contractual requirements. The new Administrator will be responsible for building the Office of Sponsored Programs. Effective communication skills are critical in this position to promote a facilitative environment and functional office culture.

The Sponsored Programs Administrator's duties include:

  • Serving as the liaison between the Office of Sponsored Programs, the SUNY Research Foundation, and the campus community;
  • Designing, leading and overseeing the execution of a public and private grants program in keeping with the needs, priorities, and competencies of the institution and its faculty and staff;
  • Efforts range from managing stateside sponsored projects; finding grant sources and informing appropriate individuals; Assisting with and overseeing the development and writing processes; and assisting with final grant production, presentation, and achievement;
  • Mentoring faculty and staff in grant writing, grantsmanship, and grant and contract management; interpretation and dissemination of guidelines, regulations, and compliance requirements;
  • With senior administration, developing campus policies that foster research, scholarship, and creativity;
  • Researching and interpreting funding opportunities and requests for proposals from government agencies and foundations to determine appropriateness for the university; evaluate and recommend how best to respond.
  • Continually reviewing and updating information pertaining to changes in federal regulations, specific agency requirements, and procedures for administration of funded awards.
  • Providing oversight and faculty and staff support in grant and sponsored program activities to include contract and subcontract preparation, negotiation, and recommendation for acceptance.
  • Serving on campus and SUNY system-level committees related to external funding.
  • Serving as the IRB Compliance Officer for the Institutional Review Board.
  • Preparing reports on sponsored project activity; provide data for institutional reporting and publicity. Assist institutional officials and faculty in developing proposals for infrastructure improvement.
  • Supervising sponsored programs staff and graduate assistants.
  • Maintaining grants databases.

Required Qualifications:

  • Bachelor's Degree
  • Ability to manage multiple priorities in a fast-paced environment
  • Ability to interact effectively with Office of Sponsored Programs' stakeholders, including administrators, faculty, staff, students, governmental agencies, and other prospective funding sources
  • Evidence of excellent written and oral communication skills

Preferred Qualifications:

  • Master's Degree
  • Three years' experience in sponsored programs administration
  • Experience working with SUNY Research Foundation
  • Experience working in higher education
  • Experience managing a small office

Rank/Salary:
$75,000-$85,000, dependent on experience and qualifications.
