The Manager of Scheduling and Authorizations provides administrative support in daily operations, reporting, and supervision of the scheduling and authorization departments. Responsible for the oversight of surgical, procedure, and test scheduling and insurance prior authorizations. Works collaboratively with leadership, management, and providers to ensure scheduling is timely, efficient with authorization.

Qualifications and Experience

  • Bachelor's Degree preferred not required
  • Minimum 3 years of work experience in a physician's office, hospital, or equivalent setting
  • Minimum 2 years experience in a supervisory role
  • Advanced working knowledge and experience with Microsoft Office 365. Highly proficient in Word, Excel, and PowerPoint
  • Strong command of insurance policy, benefits, and associated authorization requirements
  • Working knowledge of coding
  • Proficient in documentation, computer systems, electronic health records
  • Exceptional written and verbal communication skills
  • Strong ability to prioritize and perform multiple projects concurrently
  • Proven ability to take initiative, exercise sound judgement and act with integrity and professionalism

Responsibilities include by are not limited to

  • Manages and oversees scheduling and authorization departments
  • Develops protocols, policies, and workflows to enhance the functionality and efficiency of the scheduling and authorizations department
  • Maintains accountability for productivity and performance standards within scheduling and authorization departments
  • Advises leadership on necessary platforms, products, staffing resources
  • Responsible for the supervision of department staff to include selection and training of new staff, performance review, disciplinary/performance improvement
  • Works closely and effectively with the clinical team, business office and credentialing to ensure the highest quality of care and service are provided
  • Serves as a liaison between external healthcare system managers and the
    practice
  • Answer and direct patient inquiries appropriately, relay important information
    promptly, and clearly, and maintain confidently as needed
  • Remains up-to-date on changes in regulatory requirements and payer-specific
    authorization requirements
  • Reconciles monthly denials to identify trends and opportunities for improvement

  • Follows all applicable department and practice policies and procedures
  • Participates in professional development activities and maintains professional affiliations
  • Maintains patient confidentiality; complies with HIPAA privacy and confidentiality guidelines established by the practice
  • Maintains detailed knowledge of practice management and other computer software as it relates to job functions
  • Participates in committee meetings to facilitate system changes
  • Attends all regular meetings
  • Maintains compliance with continuing education requirements to maintain current certifications, licensure, etc.
  • Performs other duties as required and assigned by Manager, including schedule changes and travel to office locations as assigned
