Elgin Veterinary Hospital located in Elgin, TX is a 5 doctor equine & bovine emergency referral and primary care facility that offers the best in medical and surgical treatments for large animals. The Large Animal Office Manager will lead a team of client service representatives and support the PM and Medical Director in Equine and Bovine hospitals. This leader will coach and empower their team to resolve customer service issues and tackle various initiatives in order to provide the best customer service experience. Ideal candidate must have a passion for service recovery and improving customer interaction, creating engagement with an in-hospital and remote team, collaborating with internal and external customers, and working to improve EVH’s public relations and customer journey.

Primary Job Responsibilities
The fundamental responsibility of the Office Manager, in partnership with the practice manager and medical director, is to effectively use all available resources to provide the best possible client services and patient care to animals treated/handled by the hospital, as well as to ensure the profitability of the practice.
Recommends policies governing flow and client service.
Provides counsel to hospital management on hospital staff and staffing needs.
Participates in support staff interviews and selection.
Develops and maintains support staff on-boarding guide & training manual.
Serves as direct supervisor of hospital CSR and support staff team.
Reviews completion of CSR, Bovine and Equine staff schedules.
Oversees completion and accuracy of time sheet & PTO submissions for assigned hierarchy.
Oversees accountability and follow-through of direct report’s assigned duties.
Leads monthly department meetings, prepares & promotes meeting notes newsletter
Oversees and manages support staff coaching & corrective measures with guidance of PM & POP.
Assists in staff engagement efforts & assists in all-staff meetings.
Assists in CSR, Bovine and Equine performance reviews, developing staff goal setting plans.
Oversees hospital accounts receivable and collections.
Oversees hospital cash handling and banking needs.
Assists in event planning, social media, marketing efforts, and referral partner relationships.
In conjunction with the Inventory & Floor Manager, ensures staff and hospital are operating in compliance with OSHA, DEA, EEOC, ADA, and the Department of Labor.
Serves as member of the Hospital Leadership Team.
Works well with all employees and ensures that actions support the hospital team, clients, and the practice Core values.
Performs other duties as assigned or attends to hospital related needs when necessary.
