What You'll Do:

The Collections Manager is a hands-on leader who plans, organizes, coordinates, and reviews the daily functions, operations, and activities of accounts receivable, invoicing, collections and bank account functions, providing direction and coaching to the team. Through the effective leadership of the team and efficient management of commercial billing, credit and collections, refund processing, and compliance, the Collections Manager achieves designated reimbursement goals for the company.

This business-to-business role is ultimately responsible for collecting unpaid customer invoices, negotiating terms and remediation of past due customers. This role is expected to negotiate the best methods, times and amounts each customer can acceptably pay their invoices to avoid negative credit circumstances.

The Collections Manager is also responsible for actively working in multiple systems within the Company and outside of the organization to ensure collection standards are maintained. As such, regular, reliable, predictable performance is needed.

Challenge Yourself – The Specifics:

  • Manages the recruitment, selection, training, development, guidance, motivation, evaluation, growth, development, and coaching of direct reports
  • Supervises operations in the AR process to maintain AR days outstanding at goal levels
  • Establishes credit limitations on customer accounts and handles special credit arrangements and deviations from standard terms of payment
  • Provides ongoing leadership and operational oversight in the development, use, and maintenance of the information systems for billing and AR management
  • Oversees the timely deposit, recording, and reconciliation of the Company’s revenue, including cash, checks, credit cards and wires
  • Reviews, tabulates, verifies accuracy, interprets, and reconciles receivables with invoices and customer accounts
  • Reviews and maintains a variety of ledgers, registers, and spreadsheets according to established accounting policies and procedures
  • Reviews collection reports to ascertain status of collections and balances outstanding and to evaluate the effectiveness of current collections policies and procedures
  • Develops and maintains strong relationships with customers
  • Oversees refund requests from customers, sales, or accounting staff
  • Creates standard templates and letters for communications by the team
  • Participates in special projects and performs other duties as assigned
  • Build strong relationships with internal and external customers/stakeholders

General Knowledge of:

  • Administrative principles and practices, including goal setting, program development, implementation, and evaluation and project management
  • Working knowledge of software applications and information systems, with experience or exposure to QuickBooks, AR, Order Management and General Ledger systems, and other automated accounting systems; MS Office
  • Techniques for providing a high level of customer service by effectively dealing with vendors, contractors, and Company staff

  • Communicate effectively in person, cross-functionally, over the phone, and in writing, using proper English usage for grammar, spelling, etc.
  • Interpret, apply, explain, and ensure compliance with applicable Company policies and procedures
  • Use tact, initiative, prudence and independent judgment within general policy, procedural and legal guidelines
  • Represent the department and the Company effectively
  • Demonstrate solid judgment, focus, effective decision-making capability, and a sense of urgency
  • Effective critical thinking and problem-solving skills with attention to detail and an eye for creating unique solutions and internal efficiencies
  • Strong customer service focus and empathy for customer situations to resolve those issues while also able to achieve our business and operational needs to maintain collection of payment goals
  • Professional drive to work independently, effectively, and efficiently with little direction and numerous interruptions in a fast-paced, frequently changing work environment and company infrastructure
  • Utilize excellent time management and organizational skills
  • Work on multiple projects at the same time, establishing priorities, meeting deadlines, and treating confidential information appropriately
  • Strong work ethic and emphasis on attention to detail with a “can do” attitude
  • Understand the need to collaborate with other employees and departments well
  • Acquire a basic understanding of LED lighting products

You Have a Unique Combination of Skills, Talents, and Mindset, Including Many of the Following:

  • Bachelor’s degree in Accounting, Business Administration, or related field or equivalent combination of education and training
  • A minimum of 3 years of management experience with progressive responsibility required
  • Proven ability to performance strategic planning and priority setting for a billing department
  • Proven track record for improving process efficiencies and solving problems
  • Type 50 words per minute
  • 10 key by touch
  • Proficient user of Google Suite and Microsoft Office (Excel and Word)
