We are seeking a strong Practice Administrator, with experience in presentation of surgical treatment plans and facilitate financial arraignments. They ensure that fundamental systems and protocols are in place within the dental office, allowing the Doctor to focus on delivering optimal patient care and building an exceptional team.
PRIMARY FUNCTIONS:
The Dental Office Manager will maintain the office budget to achieve profitability, assist in dental team development, build positive relationships with the dentist, dental team members and our patients. They will manage schedules to meet daily dentistry goals and assume a leadership role in motivating office team members and proactively seeking ways to improve the dental practice. The Dental Office Manager generates accountability, authority and responsibility with given team and provides support, communication, and guidance to increase the team’s performance.
DENTAL OFFICE MANAGER DUTIES AND RESPONSIBILITIES:
* Actively leads and participates in the morning huddle
* Set an example of exemplary customer service
* Explain financial obligations and payment options – encourage patients to apply for CareCredit when necessary
* Constantly and consistently promote the office by asking for patient referrals
* Review new patient accounts for accuracy
* Utilize various scripting for patient communication
* Process EOB’s daily
* Review schedules for productivity daily and weekly basis
* Ensure all provider charges are posted correctly
* Ensure daily deposits are completed on time with accuracy
* Ensure office is always secure as assigned key holder
* Train team and ensure effective customer service skills via the telephone and in person
* Responsible for meeting the minimum monthly performance goals as outlined by executive management
* Respond to both general dentistry and specialty patients and patient complaints in a timely and professional manner
* Retention of staff and patients (turnover number)
* Maintain a professional, clean, neat appearance and act as the leading authority of the dental practice
* Professionalism and leadership
* Reside as the expert on basic job knowledge such as filing insurance claims, cash management, office software, insurance verification and insurance linkage
* Prepare and process referrals
* Order office supplies
* Troubleshoot, install and follow-up on technology issues
* Accurately submit write-off and refund requests to the RM
* Adhere to HIPAA privacy policy
* Enforce Standard Operating Procedures and office protocols – report accidents and exposures to the RM immediately
* Meet/exceed provider performance and office performance goals
* Time clock management – clear flags and adjust hours, approve staff timecards on a weekly basis
* Schedule office training with RM approval – CPR, lunch and learns, etc.
* Coordinate daily staffing per schedules
* Recognize staff accomplishments
* Coordinate office events with the marketing department
* Document employee performance and inter-office conflict confidentially
* Conduct employee performance evaluations with doctor and RM
DENTAL OFFICE MANAGER SKILLS AND SPECIFICATIONS:
* Ability to write clearly, concisely, logically, and legibly
* Demonstrate accuracy in spelling and basic mathematics
* Speak, understand and write grammatically correct English
* Excellent customer service and phone etiquette skills
* Demonstrate thorough knowledge of Dentistry including dental terminology, technology, health maintenance, procedures
* Knowledge of insurance plans and payment/collection processes
Maintain a professional demeanor at all times
* Demonstrates exceptional human relation skills
* Ability to assess issues and seek resolutions
* Computer proficiency and the ability to learn new programs
EDUCATION AND QUALIFICATIONS:
* High School Diploma or equivalent
* Minimum of 2 years Dental Office Manager experience
* Dentrix/Open Dental knowledge preferred
