EJF Real Estate Services is Hiring an Association Transition Coordinator Near Washington, DC

Description

We are seeking a dedicated Association Transition Coordinator to join our team. The successful candidate will manage the team responsible for both the client facing and the administrative work required in onboarding new associations to the EJF portfolio. They will be the point person for most client-facing communication and will be in charge of overseeing and assisting with the administrative work as needed.

Requirements

  • Board Liaison: The coordinator will be the primary point of contact with the boards of new associations who have signed with EJF. The coordinator will need to remain in constant contact with the board, keeping them appraised of the progress with the onboarding and flagging any issues to them as they arise.
  • Administrative Oversight: Ensuring that the correct protocols are followed in a timely manner for all onboarding associations, and that all tasks are done completely and correctly throughout the process.
  • Team Management: Manage the team of people who work on onboarding, delegating responsibilities as needed and following up with team members to ensure that all tasks are completed. Answering any technical and procedural questions from team members that arise.
  • Interdepartmental Communication: Working with various departments throughout EJF, including HR, Business Development, Exec Team, Property Managers, and Finance Team to keep everyone in informed on all new onboarding associations. 
  • Procedural Improvements: Consistently finding ways to make onboarding more efficient and scalable over time, whether through improving the Monday.com board, specializing in the roles of team members, or improving/streamlining communication with new clients. 

Qualifications:

  • 3-5 years of relevant/industry experience is required.
  • Ability to manage a team of people and delegate responsibility efficiently and effectively.
  • Effective communication skills, both client-facing and managerial. 
  • Excellent critical thinking skills and attention to detail. 
  • Comfort with occasional hard deadlines and variable workloads in different months. 
  • Ability to see and address both the “big picture” and the work that needs to be done at the same time. 
  • Proficiencies: MS365, specifically Excel, Outlook, and Teams; Vantaca, and Monday.com preferred.

Skills: 

  • Critical Thinking – Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems. 
  • Management – Overseeing a team and maximizing their effectiveness, making sure everyone on the team understands and can manage their roles.
  • Communication – Communication is central to this job role – it requires internal communication with the team and other EJF departments, external communication and relationship building with other management companies, and client-facing communication with new boards. Being able to communicate appropriately in these different situations is central to the role and determinative of success. 
  • Follow through – This role requires aggressive and initiative-taking tracking of completed tasks and follow through on tasks that remain incomplete. The successful candidate will be able to get the work done and track its completion.

Working Conditions: 

This is a full-time position, and hours of work and days are Monday through Friday, 9:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand. This can be a majority remote job but occasional visits to the DC office or pickups at other management companies in the DMV region may be required.
