JOB PURPOSE:

The Events Specialist plays a key role in supporting Edupoint by coordinating the execution of events aimed at fostering business relationships, enhancing company culture, boosting sales, and increasing brand visibility. 

Job Summary: 

This primary responsibility for this position is to support the Sales and Marketing teams by planning and coordinating events and tradeshows. This position will be responsible for understanding the goals of each event, ensuring timely registration, securing sponsorships and presentations, handling logistics, handling event marketing (working in conjunction with the marketing team), negotiating with sub-contractors, preparing expenditure reports, and evaluating event effectiveness. Event types range in size and scope from a large national users conference to internal company staff lunches and activities. As part of a small but agile team, this position will also perform various sales and marketing coordination activities. This role will require travel to various events. 

Job Duties: 

§ Manage tradeshow and conferences from initial planning to post-show evaluation, which can include completing registrations, ensuring proper equipment and utilities are available for each show, shipping displays and materials, managing hospitality suites and hosted dinners, and booking travel

§ Develop internal “show guides” for staff traveling to each event that outline all activities

§ Play a vital role in the planning and execution of Edupoint’s National Users Conference which includes developing and managing online registration activities and tracking room capacities for a positive attendee experience

§ Accurately track and evaluate expenditures for every event using MS Excel and provide quarterly reports analyzing “budget vs. actual expense” 

§ Assist with the planning and coordination of company events that include staff meetings, holiday events and “Fun Friday” activities which includes the setup and tear down of all related “equipment” including tables, chairs, games, etc. 

§ In support of the marketing team, develop and manage marketing campaign lists for lead generation

§ Assist Bids and Proposal Manager with proposal production (copying, binding, shipping). 

§ Manage marketing inventory and ordering process for marketing collateral and promotional items.

§ Anticipate possible trouble areas and propose practical solutions to problems as they arise during the process

§ Other duties as assigned

Job Requirements-Knowledge/Skills/Abilities: 

*Knowledge:

§ High proficiency with Microsoft Office Suite (Word, PowerPoint, Excel) and Adobe Acrobat

§ K-12 knowledge preferred

§ CVENT knowledge preferred

*Skills:

§ Great combination of analytical and creative thought processes and skills

§ Excellent communication skills (oral and written) to ensure team participation, cohesion, and results

§ Good presentation skills and an ability to interact with company executives with confidence and professionalism

§ Strong reading comprehension and writing skills

*Abilities:

§ A natural curiosity to learn new things and continuously build skill set

§ Openness to learning and actively participating in Marketing Communications tasks including digital marketing, events and tradeshows, email marketing, webinars, and press releases

§ Demonstrated high levels of energy, enthusiasm and a commitment to make a positive impact

§ Proficiency in managing multiple concurrent projects

§ Ability to prioritize assignments and to accurately assess time required to arrive at a high-quality outcome

EDUCATION AND/OR EXPERIENCE: 

  • BA/BS degree in Communications, Marketing, Business or other relevant fields preferred
  • A combination of academic education, professional training, and work experience that demonstrates the ability to perform the duties of the position

Typical Physical Demands and Work Environment: 

Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies, occasionally lifting files, objects or paper weighing up to 50 pounds. Requires manual dexterity sufficient to operate a keyboard, telephone, copier and other office equipment as necessary. Hearing must be in the normal range for telephone and video conferencing contacts. Visual acuity necessary to work extended hours on computer screens. Ability to work in an environment with moderate noise and which can be fast paced and project intensive. Travel and some extended overnight trips in the performance of duties will be required.
