DEPARTMENT OVERVIEWOne of the largest and most distinguished university presses in the United States. Advances scholarship in the humanities, social sciences, and natural sciences through its publication of thousands of books and journals, online and in print.
POSITION SUMMARYThe Assistant Controller will work closely with the Controller on several tasks and projects. Uses skills as a seasoned, experienced financial service professional with a full understanding of industry practices and organizational policies and procedures. Resolves a wide range of issues. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.
Involves the processing and servicing of a variety of operational, personnel, and financial transactions and services. Includes reconciliations, accounts receivable, accounts payable, data collection and data entry, analysis, review and control, and reporting.
Responsibilities35% Analysis, Reporting, and Policy Review/Creation:
Applies financial services concepts (i.e., accounting, accounts receivable, accounts payable, purchasing, collections and billing), to resolve issues, and prepare business process procedures and policy recommendations. Prepares monthly WIP accounts payable accruals and WIP related journal entries. On a weekly basis, prepares Final Book Releases (FBR) for shipment to the warehouse.
30% Financial Analysis Projects:
Works closely with Controller on a wide variety of projects, including monthly balance sheet reconciliations, ensuring integrity of all fund balances and payables/receivables. Acts as backup for the Controller as needed. Responsible for providing reports and analyses for varied and complex budgetary, financial and resource projects.
25% Accurate Accounting Journal Entries, Postings, and Audits:
Posts invoice charges to transaction reconciliation log, cost sheets, and WIP (Works in Process) ledger. Posts and reconciles entries for UC Press Foundation. Prepares journal entries to transfer funds from investment accounts. Ensures subsidies are recorded to the accounts in accordance with the donor's requests. Ensures all manufacturing invoices are authorized, properly coded and covered by a purchase order.
10% Customer Service and Staff Training:
Provides guidance to less experienced team members on financial processing functions. Recommends and implements quality customer service standards and procedures to affect various constituencies, including internal department and external vendors. Documents procedures for financial activities.
Required Qualifications- Thorough knowledge of financial processes, policies, and procedures (specific to book publishing industry a plus).
- Thorough knowledge of financial data management and reporting systems (Oracle and Quickbooks a plus).
- Strong proficiency in the use of spreadsheet and database software.
- Highly developed interpersonal skills, service orientation, and strong active listening skills.
- Ability to multi- task in a high volume environment.

Education- Bachelor's degree and a minimum of 5 years of relevant experience and/or equivalent training and experience.
SPECIAL CONDITIONSThis position is open to onsite, hybrid or full remote from within the state of Califoria.
SALARY AND BENEFITSSalary:
