PROGRAM ASSISTANT JOB DESCRIPTION

JOB TITLE: Program Assistant

DEPARTMENT: HVRP

REPORTS TO: Program Manager

FLSA POSITION STATUS: hourly, non-exempt - $20.50 per hr.

GENERAL POSITION SUMMARY

Our Homeless Veteran’s Reintegration Program (HVRP) assists veterans who are homeless, or at risk of becoming homeless in finding employment. This role is designed to assist the program in both maintaining accurate records and data bases but also in conducting outreach to local veterans or homeless entities with the goal of increasing program enrollments.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following. Other duties may be assigned to meet agency needs.

  • Be a leader of Easterseals Oregon's culture, values, and mission.
  • Demonstrate professionalism through interactions with co-workers and the public in a positive, professional manner in compliance with Easterseals Oregon’s mission.
  • Maintain confidentiality of sensitive documentation and information of all Easterseals employees, participants, and affiliates.
  • Able to work in a team setting with other professionals.
  • Exercise good judgment and comfortable taking initiative to support current and/or new projects.
  • Oversee the front office operations including greeting walk ins, answering phones, responding to inquiries, and process program referrals.
  • Stay informed of community, agency, and program information through inter-office communications, attendance at staff meetings, participation in professional development activities and other community events.
  • Coordinate a variety of projects, functions and/or program components (e.g. staff meeting, client trainings, employment retention follow up, etc.) for the purpose of completing activities and/or delivering services in a timely fashion.
  • Maintain a wide variety of manual and electronic documents files and records (e.g. client records, client referral sources, client demographics, client-training activity) for providing up-to-date information and/or historical reference in accordance with established administrative guidelines.
  • Procure supplies and materials and maintain availability of required items as needed.
  • Create and distribute a monthly newsletter for participants including upcoming events, program announcements, job leads, etc.
  • Coordinate scheduling within the office (i.e. meetings, client computers, etc.).
  • Complete other assignments as assigned.

Your Education and Experience

We will consider any combination of relevant work experience, volunteering, education, and transferable skills. Please be clear and specific about how your background is relevant.

Minimum Qualifications

  • Required High School Diploma or equivalent.
  • Demonstrated work experience in data collection and proficiency using Microsoft suites.
  • Demonstrated interest in working with Veterans and the ability to be compassionate and understanding.
  • Demonstrated ability to work with others and communicate effectively.
  • Ability to work with individuals of varying incomes, skill levels, experiences, and cultures.
  • Strong information technology skills.
  • Ability to manage multiple tasks simultaneously.
  • Ability to pass a criminal and MVR background check.
