East Valley Animal Hospital is Hiring a Veterinary Office Manager - CVT Near Gilbert, AZ

We are an established small-animal, general practice located in Gilbert, AZ. We are focused on providing our patients with the highest quality medical care. The ideal candidate will have experience managing the administrative, marketing and financial details of a medical practice while also being able to utilize their CVT skills when help is needed on the floor. Additionally, the candidate will build a strong rapport with both the staff and clients as well as possess strong organizational skills and problem-solving abilities.
The Office Manager performs a wide range of administrative activities related to the practice. This includes mentoring the staff while working closely with the lead technician and lead CSR while overseeing the business operations and maintenance of the facility; ensuring the business growth and profitability of the practice; and supporting the hospital’s mission of delivering the highest quality patient care and exceptional client service.
Skills and Qualifications:
  • Veterinary Practice Management: 5 years
  • 5 years working at a small animal practice as a veterinary technician
  • CVT 
  • Excellent verbal and written communication skills, especially to a diverse range of personalities and circumstances.
  • Professional comportment and appearance, with excellent interpersonal skills and a friendly, positive attitude.
  • The ability to make correct decisions especially in busy and stressful situations, delegate responsibility and achieve results with all hospital team members.
  • Must possess excellent organizational, time management, and leadership skills.
  • Adept at learning new tasks and accepting new challenges with changes in priorities.
  • Strong problem-solving skills
  • Proficiency in MS Word and MS Excel
  • Avimark software experience is preferred
  • Respect for and willingness to work with clients and their pets.
Job Responsibilities:
  • Client Services: Ensure consistently outstanding client experiences through client communication, education, interaction and patient retention strategies. When needed resolves client complaints quickly.
  • Human Resources: Manage hospital staff and client care personnel daily, including their schedules and daily assignments; conduct regular staff meetings; maintain hours for payroll. Responsible for assisting with recruiting, hiring, training, development, conducting reviews, disciplinary actions, and terminations of team members. Demonstrate a willingness to assist all employees in making the practice a success.
  • Staff Training: Implement client care training programs. Monitor continuing education activities and compliance for all employees so they may reach the goal of providing the highest quality patient care and exceptional client services.
  • Office Operations: Oversee office policies and operations, workflows and communications. Assist with inventory management, oversee supplies and equipment purchases. Monitor P&L reports to increase revenue and limit expenses.
  • Bookkeeping & Accounting: Liaise with leadership team on all account payable, accounts receivable, and inventory matters.
  • Marketing: Liaise with the leadership team to oversee and manage social media accounts, client mailings, clinic website, advertising and community involvement.
  • Information Technology: Maintain and troubleshoot computers, printers, and backups. Oversee 3rd party computer and software support.
  • Key Performance Indicators Management: Monitor key performance metrics and recommend improvements.
  • Compliance: Ensure office compliance with contracts and applicable laws and requirements, including OSHA and DEA compliance. This includes working with the lead technician in monitoring all medical, surgical and drug records that they are kept up-to-date through established protocols.
  • Facilities Management: Maintain a roster of contractors to address building or equipment-related maintenance and repairs.
