Corporate Office Assistant-ECAA Greenville

ECAA is a leading anesthesia private practice in the state of North Carolina. We pride ourselves on providing safe, effective, and innovative anesthesia and pain care to our patients in various settings including hospitals, surgery centers, and pain clinics. Our practice is owned and operated by our physicians throughout the state, allowing each division to manage their sites autonomously. Our unique practice is growing, and you could be a fit for our team! Our office located in Greenville, and also our flagship location, is seeking a part-time office assistant to assist the managing partners with their board meetings, planning, and meeting minutes. This position is a great fit for someone seeking to work in a professional environment, but only desires to work part-time hours.

Job Summary:

The Corporate Assistant provides support to ECAA partners (physicians). This position performs a variety of clerical duties and skilled tasks that includes, but is not limited to, ECAA Board and Committee and partner administrative support as needed and requested.

Duties/Responsibilities:

Board and Committee support:

  • Schedules meetings and reviews, prepares, and distributes Board/Committee materials as requested.
  • Assists with meeting preparation including organizing catering when necessary.
  • Coordinates live/virtual meeting logistics and technology.
  • Prepares and keeps minutes via board management software.
  • Collects requested data and information from various sources including email and other correspondence, meeting minutes and records, and other documents; prepares summaries and/or other related written correspondence as requested.
  • Performs other related duties as requested by board, committee leadership and partners.

Education and Experience:

  • Associates degree or the equivalent combination of education and experience.
  • Three to five years of experience in a related role required.

Required Skills/Abilities:

  • Demonstrated ability and experience with handling sensitive and confidential information with the utmost care, discretion in an ethical, trustworthy manner.
  • Superior listening, verbal, and written communication skills with employees and all levels of organization and the ability to create a service-focused working environment of competency, open communication and trust.
  • Demonstrated proficiency with virtual meeting logistics coordination and troubleshooting.
  • Ability to organize and prioritize work.
  • High integrity, detail-oriented and professional
  • Proficient with Microsoft Office Suite, virtual meeting platforms, and related software/platforms in the corporate environment.
  • Flexible and adaptable in various situations and when interacting with many different personalities.
  • Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable laws or guidelines.
  • May travel locally to other clinical locations, as needed.
