The Project Manager Assistant compiles and organizes work orders for progressive and final invoicing; stores and files work order documentation; and trains team members on the work order/billing systems. In addition, this position assists project managers and/or customers by responding to their requests or inquiries regarding customers' projects, invoicing, accounts and other various administrative items.
Essential Job Functions
1. Compiles work orders, for progressive and final invoicing, by entering, updating, maintaining and reviewing aircraft work orders with project managers, department managers, team leaders, etc. to ensure all text, parts, labor, other services, freight, tax and discounts are correct and current for invoice preparation and final billing. Coordinates work order flow throughout company. Reviews outstanding work orders. Identifies entries for proper internal/general ledger posting, monitors and recommends revisions as necessary.
2. Directly assists customers and project managers in meeting customers' needs by researching and responding to customer inquiries or requests relative to project status, invoicing and their account.
3. Stores and maintains final work order documents following job completion, and researches and responds to requests for various work order and/or invoicing information from various departments. Trains team members on the work order/billing system and other AS400 options.
4. Generates miscellaneous invoices and credit memos timely and accurately. Creates, monitors and maintains monthly shop work orders.
5. Provides various administrative assistance, including generating reports, filing and assisting with special projects as assigned.
6. Performs other duties as assigned by management.
