Duke is Hiring a Project Billing Specialist Near Salem, NC

We now have a great career opportunity available for a Project Billing Specialist to join our TEAM! This position can be located at our Pittsboro or Winston-Salem, NC, offices.

What You Will Do:

In this position, you will have accounting responsibility for the Operations, Engineering and Analytics’ project accounts. You will work with these groups to generate the draft billing for all lines of service and also work with the Duke’s Finance team on final invoicing, project accounting, and reporting. You will also collaborate with the Operations, Engineering and Analytics staff and other members of the Finance team in multiple locations. Your focus will be on five key areas of our projects:

Financial Tracking & Analysis:

  • Maintain detailed records of project-related revenues and budgets
  • Monitor project financial transactions and ensure accuracy and completeness
  • Generate and update financial reports for each project, including work in progress, billed to date and work delivered
  • Analyze project financial data to identify trends, variances, and potential risks
  • Provide insights and recommendations to project managers and leadership to optimize project profitability
  • Conduct profitability assessments for completed projects to evaluate their financial performance

Budget Management:

  • Assist in the development and monitoring of project budgets
  • Work with Project Managers to identify what can be billed monthly and track that information
  • Track budget versus actual expenditures and report any discrepancies
  • Provide recommendations for cost-saving measures or budget adjustments when necessary

Billing and Invoicing:

  • Prepare invoices for project-related services or products delivered to clients or stakeholders
  • Ensure invoices are accurate, properly documented, and submitted in a timely manner
  • Follow up on outstanding payments and resolve billing issues as needed

Compliance and Documentation:

  • Ensure compliance with accounting standards, company policies, and regulatory requirements
  • Maintain organized project financial records for audit and reporting purposes
  • Assist in preparing documentation for internal and external audits

Collaboration and Communication:

  • Collaborate with project managers, department heads, and other team members to gather financial data and insights
  • Communicate financial information effectively to non-financial stakeholders
  • Participate in project meetings to provide financial updates and guidance

  • An associate or bachelor degree in accounting, finance or related
  • At least 3 years of experience required
  • Proven experience in project accounting or a similar role, preferably in a project-based organization
  • Strong understanding of accounting principles such as bookkeeping, basic accounting procedures, GAAP, and GL reconciliation, as well as financial analysis
  • Strong analytical and problem-solving abilities
  • Strong interpersonal, oral and written communications skills
  • Strong ability to work both independently and successfully collaborate cross-functionally across multiple locations
  • Strong attention to detail
  • Strong follow-up skills
  • Strong organizational skills with the ability to prioritize and/or adapt to business needs
  • Self-motivated and driven, able to take initiative
  • Strong computer skills including data entry, MS Office (particularly Excel), accounting software, and ERP systems
  • Knowledge of project management methodologies is a plus
  • Willingness to work overtime or weekends as necessary
